Benefits and Administrative Support Specialist

The Benefits Specialist applies a thorough understanding of the benefits function and related policies, procedures, programs, vendors, etc. to achieve the objectives and responsibilities of the position. Assists in all aspects of benefits administration. Develops and processes reports, conducts benefit presentations for employees and education sessions as needed. Makes ongoing proposals for improvements to the benefit packages, including participating in the development of new benefits, as well as improving existing ones.

Job Description:

  • Available as a resource to employees and supervisors for all benefits related inquires

  • Uses positive and responsive customer service (via phone, email, in person meetings/site visits) to answer/resolve employee and supervisor questions and to keep HRG/M current on issues. (Note: returns all calls by the end of the business day – calls should be returned even to let the party know that you are working on an issue and a projected date of completion)

  • Maintains files and records of benefit related materials for the agency and individual employees

  • Conducts benefit presentations for all new employees by appointment when needed and during open enrollment

  • Actively participates in Annual Open Enrollment program including presentations to staff/supervisors, material preparation, process, document collection, audits

  • Maintains current library of benefit information for distribution upon request.

  • Ensures that COBRA is effectively administered by the vendor

  • Applies a strong working knowledge of Infor (HRIS system) and Excel to efficiently and effectively process and track all components of plans you are responsible or – including retirement, medical, dental, etc.

  • Reconciles carrier bills and submits monthly vouchers to Accounts Payable within deadlines. Meets all deadlines (payroll, legal, agency, vendor, etc.), escalating issues and following through to ensure deadlines are met. Uses strong mathematical knowledge to ensure bills are accurate

  • Processes all tuition assistance and reimbursement requests.

  • Coordinates meetings for employees with 401(k) representatives at various locations as needed

  • Supports all administrative functions of all retirement plans, including but not limited to: assisting with bi-weekly enrollment process and year end auditing and reporting.

  • Independently works to resolve issues through thoughtful and thorough analytical and problem solving skills; reaches out/escalates to others as appropriate

  • Assists HRM’s (as appropriate) with benefit-related projects, presentations, and trainings/information sessions – keeping all appropriate parties informed timely

  • Maintains compliance with all laws and regulation regarding benefit administration

  • Develops, maintains, and processes reports as directed
