SUNY System Administration Office Assistant 1 (NYS Helps) in Albany, New York
The State University of New York System Administration, located in Albany, New York, is seeking an Office Assistant 1, assigned to work within the Office of Opportunity Programs. The Office of Opportunity Programs (OOP) oversees university-wide programs that promote access, success, and opportunity for students of promise at the pre-college, undergraduate, graduate and first professional levels of study. OOP’s oversight responsibilities include program leadership, policy development/implementation, fiscal planning and management, performance monitoring, data collection and reporting.The duties include, but are not limited to, the following:•Function as administrative support for the OOP staff, including daily calendar, meetings, events, travel and special projects as needed;•Serve as the primary person on answering phones, forwarding calls and taking messages;•Maintain offices files, including listservs and databases for campuses, internal and other stakeholders;•Assist in administering day-to day activities of the office, including correspondence tracking, filing systems maintenance; and review, prepare, and process supply requisitions, travel vouchers, monthly financial reconciliations and invoice payments;•Maintain electronic records using excel containing various data; including but not limited to: reports from campuses and distributing them to appropriate campus liaison;• Assist in all events, meetings and special activities in which the office is involved;•Keep daily log of incoming and outgoing mail; including opening and distribution;•Serve as back-up for preparing meeting minutes; •Assist in reviewing, editing and preparation of professional correspondence; and•Ordering of office supplies and other items needed within the office.Preferred Requirements:•Be highly detailed and ensure discretion in all work-related matters•Have strong interpersonal, verbal, and written communication skills•Be proficient in Office 365, especially Word and Excel•Excellent organizational skills, ability to manage multiple priorities•Exceptional drive to complete tasks in a timely fashion.Minimum Qualifications:There are no minimum education or experience requirements for this position. All interested candidates are encouraged to apply.NY HELPS: This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In June 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
