FUNCTION AND SCOPE:

Works independently under the general supervision of the Chief Compliance Officer providing administrative support to an innovative team of compliance and cyber security professionals.

The Senior Administrative Assistant plays an essential role in supporting the compliance team and ensuring smooth operations within the department and across the enterprise. This high visibility role requires close coordination with other teams, Vice Presidents, campus stakeholders and leaders throughout the organization.

About the Office of Compliance and Information Security Services:

The Office is a small, highly functioning, innovative, and fast paced team responsible for the RF's compliance and information security programs. The team leads and provides guidance and expertise cross functionally in support of the RF's vital role supporting SUNY Research. The RF's Compliance Program is a Board approved program involving corporate ethics, risk management and internal controls, preventing and detecting fraud, waste, and abuse and investigating allegations of misconduct, policy administration, compliance learning and development, and managing the RF's insurance portfolio.

The RF's information security program ensures that RF systems are adequately secure from cyber threats through the implementation of the NIST cyber security framework. Team members ensure RF networks are protected from threat and provide guidance throughout the enterprise on cyber security best practices.

Operational Duties:

  • Performs administrative support including, but not limited to, answering and screening incoming calls, scheduling appointments, maintaining calendars, processing of payables, monitoring contracts, registering staff for conferences and seminars, handling travel arrangements and reimbursements, ordering office supplies, sorting and distributing mail, managing exception reports, arranging conference calls and virtual sessions and coordinating staff meetings including rooms, equipment materials, catering, etc.

  • Execute and manage necessary tasks to support policy administration and publication.

  • Provide administrative support of enterprise risk management and internal control activities.

  • Provides support to the chief compliance officer in the documentation and management of conflicts of interest, delegation of authority, whistleblower hotline, and other compliance or official corporate records.

  • Responsible for follow-up from executive level meetings.

  • Support the annual business applications review and related information security tasks.

  • Maintains list of campus Business Systems Access Administrators.

  • Reads outgoing correspondence for approval and alerts to any conflicts or departure from policies or established viewpoints.

  • As needed, interprets requests, implements action, and decides whether the chief compliance officer should be notified of high level or emergency matters.

  • Perform unit operating practices such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards. Create new systems or revise established procedures, as necessary.

  • Interprets and executes operating policies.

  • Coordinates collection and preparation of operating reports and statistical records of performance data.

  • Maintain department P-Card and monthly reconciliation.

  • Supporting the insurance and car registration process.

  • Other duties as assigned in support of various compliance functional activities.

    Job Requirements:

Required Education/Experience:

  • High School diploma with at least four years progressive experience in administrative support is required.

  • Ability to work in a team and within a confidential environment.

  • Demonstrated success in a high-energy work environment.

  • In-depth knowledge of computing skills, including Microsoft 365 applications (Office, Excel, Teams).

Compensation for this position: The compensation for this role is between $55,000 to $60,000. The pay will depend on a variety of factors that may include but are not limited to experience, education, training, and certifications.
