Description

We are on the hunt for a Receptionist in Allentown, Pennsylvania. The successful candidate will be the first point of contact for our team, handling phone calls and visitor reception, organizing files, and managing email correspondence. This role offers a short term contract employment opportunity and is pivotal in ensuring smooth daily operations within our office.

Responsibilities:

• Manage incoming calls and direct them to the appropriate departments.

• Welcome visitors, ascertain the purpose of the visit and guide them accordingly.

• Oversee the email system, sorting and distributing incoming emails.

• Utilize the multi-line phone system to ensure effective communication within the organization.

• Maintain the organization of files and records, ensuring that important documents are easily accessible.

• Schedule appointments and arrange meetings.

• Ensure the office is well-stocked with necessary supplies, from stationery to marketing materials.

• Handle data entry tasks with a high level of accuracy and attention to detail.

• Perform additional responsibilities as needed by the team.

  Requirements • Proficiency in answering multi-line phone system

• Strong customer service skills

• Ability to perform data entry tasks accurately and efficiently

• Familiarity with email correspondence and etiquette

• Exceptional interpersonal skills for interacting with various stakeholders

• Proficiency in Microsoft Outlook

• Experience in organizing files and maintaining a neat workspace

• Ability to schedule appointments effectively and manage calendars
