Job Title: Entry Level Accounts Payable Specialist Location:Alma, GA Job Type:Full-Time Reports To: Accounts Payable Manager / Finance Supervisor


Job Summary:

We are seeking an organized and detail-oriented Entry Level Accounts Payable Specialist to join our finance team. In this role, you will assist in processing invoices, managing vendor payments, and maintaining accurate financial records. The ideal candidate is eager to learn, possesses strong analytical skills, and is committed to ensuring timely and accurate payment operations.


Key Responsibilities:
  • Invoice Processing:

    • Receive, review, and process vendor invoices ensuring proper approval and compliance with company policies.
    • Match invoices to purchase orders and receiving documents.
  • Payment Administration:

    • Prepare and execute electronic payments and check runs.
    • Maintain accurate payment records and resolve any discrepancies.
  • Vendor Communication:

    • Respond to vendor inquiries regarding payment status and resolve issues promptly.
    • Update vendor information in the accounting system as needed.
  • Record Keeping:

    • File and archive financial documents in compliance with regulatory and company standards.
    • Assist in month-end closing activities and account reconciliations.
  • Compliance and Reporting:

    • Ensure adherence to internal controls, accounting policies, and procedures.
    • Generate basic reports related to accounts payable activities for management review.

Qualifications:
  • Education:

    • High School Diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or a related field is a plus.
  • Experience:

    • 0-2 years of experience in accounts payable, bookkeeping, or a similar financial role.
    • Internship or related coursework in accounting is advantageous.
  • Technical Skills:

    • Proficiency in Microsoft Office Suite, especially Excel.
    • Familiarity with accounting software or enterprise resource planning (ERP) systems is a plus.
  • Personal Attributes:

    • Strong attention to detail and accuracy.
    • Excellent organizational and time management skills.
    • Effective communication skills and ability to work collaboratively in a team environment.
    • A proactive learner with the willingness to take on new challenges and grow within the role.

Working Conditions:
  • Standard office environment with occasional deadlines during peak financial periods.
  • May require extended hours during month-end or year-end closing periods.
