Job Summary

The Michigan Center for Applied and Interdisciplinary Mathematics (MCAIM) was established with the broad aim of serving as the focal point for activities that integrate mathematics with the sciences across the University. This position will assist the Director with the administration and management of the Center. Additionally, the program coordinator will provide administrative support for the Multidisciplinary University Research Initiative (MURI) grant affiliated with the Department of Mathematics. This is a 75% effort position or 32 hours per week.

Responsibilities*

MCAIM - 50%

  • Assist in the development and implementation of program goals.

  • Coordinate logistics and monitor budgets for MCAIM-supported conferences, workshops, colloquia, and summer schools.

  • Support the day-to-day operations of the Center.

  • Schedule and maintain accurate records of the MCAIM Steering Committee meetings (2-3 meetings per year).

  • Coordinate logistics of call for Van Loo Fellow nominations with MCAIM Steering Committee.

  • Email annual call for program applications to Math and MCAIM faculty affiliates, and coordinate approval process with MCAIM Steering Committee.

  • Schedule meetings and events for MCAIM director.

  • Support sponsored Michigan SIAM Student Chapter Events.

  • Prepare and administer annual budgets of $200K and monitor MCAIM project grants in MReports

  • Maintain MCAIM website in WordPress.

  • Manage MCAIM email/faculty affiliate lists.

  • Monitor/manage MCAIM's email account ( [email protected] ); send welcome emails to new mailing list members and MCAIM faculty affiliates.

  • Draft and assist with MCAIM reports and proposals.

  • Research and assist with grant preparation.

  • Manage and complete small projects for the program.

MURI - 25%

  • Schedule and attend monthly coordination meetings with all MURI PIs and researchers.

  • Update MURI website content.

  • Coordinate production of annual grant progress reports to include findings, budget status, and challenges.

  • Coordinate logistics of annual in-person review with grant program managers.

  • Assist with special projects and activities.

Required Qualifications*

  • Bachelor's degree or an equivalent combination of education and experience.

  • Three+ years of progressively responsible administrative experience as an administrative assistant or student affairs professional

  • Demonstrated experience independently managing complex projects and processes, maintaining detailed records over a long period

  • Experience managing budgets and coordinating complex logistics (events, training programs, conferences).

  • Experience with advanced business software and computer applications, such as Microsoft Office Suite, Adobe Acrobat, Google Drive, Google collaboration tools, Dropbox, Zoom, and similar platforms

  • Experience drafting correspondence, reports, and other written materials for both formal and informal audiences

  • Demonstrates strong written and verbal communication skills.

  • Familiarity with virtual and in-person learning environments and technologies used for both.
