Job Summary

As the Student Life Administrative Coordinator you will support activities related to the Full-Time MBA Program's (FTMBA) Student Life team including front desk coverage, organization and cleanliness of FTMBA suite, and general administrative support. You will provide event support for FTMBA events and Student Life events including room and hotel reservations, reimbursement processing, catering and material orders, and on-site support such as check-in and room set-up. You will report directly to the Associate Director of Student Life.

Responsibilities*

FTMBA Student Life Support (65%)

  • Assist FTMBA Student Life with administrative and logistical needs related to student clubs, conferences, and case competitions. Duties may include:

  • Managing room reservations and troubleshooting room-related issues with Ross Ops team

  • Submitting and managing catering orders and associated invoice reconciliation to various student life shortcodes

  • Ordering and preparing event materials on behalf of student leaders; trouble-shooting questions related to these orders

  • Providing on-site support to student leaders, such as check-in assistance, room set-up, and liaising with Ross Ops and/or Ross IT as needed

  • Assist FTMBA Student Life team with logistics for current student and community-wide events, including but not limited to, orientation, commencement, conferences, workshops, etc. Logistics may include room reservations, hotel blocks, catering, materials, swag, permits, parking, transportation, etc.

General Administrative Job Duties (25%)

  • Provide coverage for FTMBA Program Office front desk 5 days/week; greet visitors to the suite, direct questions to appropriate stakeholders, answer general questions.

  • Assist in monitoring and responding to emails sent to the FTMBA Program Office email account.

  • Oversee the organization and cleanliness of K1521 suite shared spaces, such as storage of materials and equipment, and orderliness of kitchen.

  • Assist Managing Director when requested with duties such as calendar management, reservations, catering orders, etc.

FTMBA Admissions Support (10%)

  • Assist FTMBA Admissions teams with on-campus and virtual event logistics.

Required Qualifications*

  • High school education and 1+ years of related administrative or customer service experience.

  • Experience working with students or similar groups.

  • Handle confidential information according to specified confidentiality guidelines.

  • Proficiency in Google and Microsoft Suites plus email and calendar-keeping technologies.

Working conditions / Physical requirements

  • This position is required to work on-site 5 days/week, with some flexibility for remote work during periods of low office traffic. May require work during early mornings, late nights, and/or weekends.

  • The person in this position routinely communicates with office visitors who may include students, prospective students, staff, faculty, staff, students and external partners.

  • The person in this position routinely moves books and class materials weighing up to 20 pounds to class locations or other venues for events.

  • The person in this position frequently moves through the building and throughout campus to attend meetings/events and access files or information
