Role Description:

The Events, Sponsorships and Partnerships Manager will project manage and execute public facing and internal events, sponsorships, and partnerships for various CoStar Group Brands, including international events and conferences, sponsorships of industry shows, client special events, hosted concerts, trade show participation, large custom exhibit booths, executive and exclusive special events. The goal will be to maximize internal or external customer engagement, brand recognition, sales lead generation, and a return on investment.

This position is an exciting opportunity for an experienced event and exhibits logistics manager who can work efficiently in a matrixed, fast-paced environment on several projects at one time. The ideal candidate is a collaborative, proactive, creative, and detailed professional who can manage complex projects while partnering with Events team members and staff across the organization, to ensure that every project is executed to the highest standards, on budget, and professionally. This candidate should be comfortable operating in an environment of constant change, results-oriented, highly motivated, service-minded, and enthusiastic, demonstrating strong time management, leadership, and communication skills. This position is in office Monday through Friday.

Responsibilities:

  • Lead core planning teams onsite or remotely in various European and North American destinations, with the majority of events, sponsorships, and partnerships based in the U.S., U.K., and Canada.

  • Manage CoStar Group participation and/or sponsorships for industry events as assigned, collaborating with internal departments in planning, booth assets, branded materials, audio visual and technical requirements, staff communications and briefings, décor and furnishings, operational specifications, vendor relationships, and on-site logistics execution of 1-7 day events.

  • Lead all aspects of events from conception to completion, including venue sourcing with partners, planning meetings, on-going reporting for stakeholders, gifting, booking entertainment, housing blocks, data and ROI reporting, trainings, catering, transportation, and staffing.

  • Create, track, and manage event budgets closely, producing post-event actuals and reports.

  • Manage communications to attendees and informational websites, including registration sites in Cvent, Forms, invitations, agendas, surveys, event mailboxes, and Cvent event applications.

  • Negotiate contracts with vendors, hotels, venues, and partners, focusing on reduced costs, beneficial inclusions, detailed commitments, and protective legal clauses.

  • Drive event deadlines to guarantee all aspects of events are on-time, communicating timelines to other stakeholders to ensure they are set up for success.

  • Plan or collaborate on event space usage, layouts, Run of Shows, and technical requirements.

  • Partner with Procurement on invoice processing, contract execution, financial coding, vendor set up, purchase orders, and other Finance requirements.

  • Create PowerPoint presentations for core planning teams as updates for brand or organization leadership, proposals for approvals, costs, deliverables or planning tracking of major projects.

  • Create and manage Excel grids for all informational purposes, including but not limited to event assignment calendars, food and beverage, housing, budgets, project timelines, staff schedules, production timing, space usage, event logistics specifications, ground transfers, activities, data comparisons, or reporting.

  • Help to identify appropriate new business relationships, trends, technology, or best practices, creating standard operating materials for team reference.

Basic Qualifications:

  • Bachelor’s degree required from an accredited, not-for-profit college or university.

  • A track record of commitment to prior employers.

  • 6+ years managing international events, conferences, executive programs, corporate special events, exposition logistics, booth custom builds, and sponsoring external initiatives/ events.

  • Experience creating and managing large event budgets.

  • Effective negotiation skills, including international contracts.

  • Proficiency with Microsoft Office Suite, notably Microsoft Word, Excel and PowerPoint.

  • Ability to travel for events and pre-event preparation – 15-30%.

  • Ability and willingness to work extended hours during planning periods, and varying work schedules for event execution and travel as needed.

Preferred Qualifications:

  • CMP certification and experience with Cvent a plus.

  • Strong communication skills, both written and oral.

  • Meticulous attention to detail and superior organizational skills.

  • Ability to expertly articulate ideas, seek decisions, and present work for senior level stakeholders.

  • Ability to prioritize multiple tasks with demonstrated experience in consistently delivering high quality results.

  • Team player who collaborates and can easily pivot to assist other projects as needed.

  • Proven ability to adapt to fast-paced and changing environments, program elements, and directions- pivoting and prioritizing effectively in responses.

  • Ability to work quickly and effectively under pressure, delivering on last minute requests and remaining detailed oriented.

  • Flexibility and ability to push through indecision and ambiguity to deliver results.

  • Ability to exert up to 20 pounds of force to move objects/boxes.
