Ohio University Events Coordinator in Athens, Ohio

Job Description:

The Event Coordinator will primarily support events for Contemporary History Institute ( CHI ), George Washington Forum ( GWF ), and the Ping Institute. The event coordinator will be responsible for coordinating events of those three areas , including in person conferences, workshops, guest lectures, and faculty gatherings. They will provide logistical support for the recruitment, transportation, and payment of 20-25 guest speakers each year.

In addition, in coordination with program leaders and with University Communications and Marketing ( UCM ), they will manage event promotions. This work may include coordinating both paid and organic social media promotion, ensuring event posters are designed, printed, and distributed, updating websites, writing news stories about events and the accomplishment of students and alums involving CHI and GWF , updating the official Ohio University calendar of events, and designing and deploying an email marketing plan.

Primary Responsibilities:

  1. Logistical Support ( CHI , GWF , and Ping Institute): This position coordinates event plaining, including creating agendas, identifying the appropriate location, developing contact lists, maintaining email lists, and invitations. Collaborate with internal teams to determine objectives, requirements, and budgets for events. Oversee logistical tasks related to bringing in 20-25 guest speakers each academic year: handling logistical correspondence, making travel arrangements, such as purchasing airline tickets, arranging hotel accommodation, organizing event spaces, organizing catering, arranging parking and organizing formal dinners with guests. Handle paperwork concerning the payment of guest speakers and others who contribute to CHI , GWF , and Ping Institute events.

  2. Programming Support ( CHI , GWF , and Ping Institute): Serve as primary point of contact for vendors throughout the event planning process. Develop detailed event plans, including timelines, schedules and checklists. Serve as a liaison with other academic units (i.e., CIS , CLJC , CRHC , African Studies, Asian Studies, etc.) who seek to collaborate with CHI , GWF , or the Ping Institute on a university event.

  3. Finance: ( CHI , GWF , and Ping Institute): Monitor budgets for events and ensure all expenses are tracked accurately ( CHI , GWF , and Ping Institute): This position is responsible for collecting financial, attendance and other applicable data to coordinate payment to vendors for events. They will submit receipts and conduct P-Card transactions for travel research, arrangements and reports for expenses related to events.

  4. Public Relations ( CHI , GWF , Ping Institute): In coordination with program leaders and with University Communications and Marketing ( UCM ), they will manage event promotions. Minimum Qualifications:

Bachelor’s degree at the time of application.

Minimum of 3 years related work experience.

An equivalent combination of experience/education may be substituted.
