What You Will Be Doing:
The Sales Administrator will accurately and efficiently manage the invoicing of machines and attachments for Machine Division transactions. This person must review all details of the machine order and validate that appropriate costs are recorded prior to invoicing. This position requires a person to have extensive knowledge of Caterpillar programs and how to accurately apply them to the deals prior to invoicing. They must also enter the claims into the Caterpillar system as well as manage and ensure all claims are paid. This position also includes calculation of Salesman commissions.
Primary Responsibilities:
Upon receipt of deal package from sales team, review quote and signed orders for accuracy, calculate deal gross profit and verify accuracy of rebates applied.
Discuss with sales team regarding issues and clarification on deal packages
Generate invoices for completed deal packages
Report sales information to vendors
Calculate commissions for sales representatives
File and monitor payment of rebates from vendors
Provide documentation for internal and external audits
Additional Responsibilities:
Participate in required safety program, and work in a safe manner.
Additional duties as assigned by manager.

The ability to provide direction and instruction and work in a team environment is essential to this position as well.
Education/Experience:
High school diploma or general education degree (GED)
Required Qualifications/Skills:
Prior experience creating and reviewing invoices for accuracy
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
Familiar with Microsoft Office Suite (Word, Excel, Powerpoint, Outlook, Access) and Adobe Acrobat
Must have organizational skills, detail oriented, and be compliance driven
Must be able to shift focus as needed and return back to tasks
Must be curious, provide solutions when problems arise and make judgment calls with the information provided
Ability to discuss issues with sales team, providing appropriate solutions and levels of detail needed
Preferred Qualifications/Skills:
1 to 2 years dealer sales administration preferred
Prior experience using an AS400 system
