Manage day-to-day operations and priorities. Serve as point of contact to resolve a variety of matters for each of the programs (LL.M., Exchange, Institute for Transnational Law). Promote innovation, quality customer service, teamwork, and open communication. Serve as the front-office receptionist for greeting guests, answering questions, answering phones, taking messages, routing calls, arranging appointments, and maintaining the front office space. Serve as the primary point of contact for the Assistant Dean and the Graduate and International Programs Office (GIP). Work with a broad range of individuals as a representative for the office, including administrators, faculty, staff, donors, alumni, students, and prospective students. Expand, maintain, and operate the weekly student newsletter that compiles all of the relevant Law School information (deadlines, events, tools to success, social events, etc.) for the student cohorts. Process travel for staff, professors, and visitors. Assist with processing Restricted Region Forms. Process authorized forms, payment vouchers, and deposits. Maintain purchasing documentation. Manage copiers and other office equipment. Manage and order supplies for office. Maintain office space for staff and student use.Oversee programming, event, and meeting planning and execution for team, students, and visitors. Serve as events coordinator, including overseeing preparation, advertisement, execution, and reconciliation of financial matters for Institute for LL.M., Exchange, and Institute of Transnational Law events and functions including acting as tour/site-visit coordinator and facilitator, including securing and operating vehicles while transporting students to events as well as picking up supplies/orders for meetings/events as necessary. Event coordination includes arranging catering, reservations, and other organizational functions.Point of contact for traveling faculty and staff when recruiting for the GIP Offices Programs, providing training and recruiting information to said parties, recruitment materials, and assisting with travel arrangements and compensation. Create and maintain LL.M. alumni database.Update and post on social media platforms as necessary. Become familiar with the different social media platforms that the programs use.Perform duties as Executive and Faculty Assistant for the Assistant Dean. Coordinate assistance for Faculty, including but not limited to administrative requests, travel arrangements, document preparation and approval. Coordinate creation and preparation of class materials. Act as liaison between Faculty and departmental and University offices; maintain Faculty files in compliance with University and department rules and regulations. Perform administrative and faculty assistant support for Faculty, including organizing the calendar, arranging and coordinating travel, Canvas online platform and other course preparation activities, correspondence, reimbursements, and communications. Conduct research and compile data and information clearly for the Assistant Dean.
