Job/Position DescriptionThe Legal Assistant Intern performs moderately complex administrative and technical work for the Chief Counsel Division of the Texas Health and Human Services Office of Inspector General. Duties and responsibilities include supporting the Litigation and Office of Legal Counsel Sections. Work involves organizing and maintaining legal files; researching, analyzing, and investigating legal and factual issues; proofreading and editing legal documents; and assisting with all phases of case management in support of administrative enforcement cases. Provides support to legal assistants and other legal staff.Works under the supervision of the Chief Counsel Office Manager and Director of Litigation, with moderate latitude for the use of initiative and independent judgment. Essential Job FunctionsAssists with the management of attorney caseloads and projects. May schedule, coordinate, and attend meetings, depositions, hearings, interviews, and training events. Assists with calendaring and tracking deadlines. (20%)Assists with document and file management. Organizes electronic and paper case files and maintains information in electronic case management system. Duties include, but are not limited to copying and scanning documents, processing incoming and outgoing mail, and indexing records. (20%)Assists with coordinating, collecting, assembling, and preparing evidence, exhibits, affidavits, and other documents for use in legal proceedings. Reviews, analyzes, and categorizes documents and data. Assists with redaction, Bates labeling, and preparing documents for production. Organizes trial notebooks and exhibit files. Prepares chronologies, fact summaries, and witness files. (15%)Prepares attorneys and legal assistants for internal and external meetings with agency leaders, parties, counsel, witnesses, and expert witnesses. (10%)Drafts, proofreads, edits, and finalizes memoranda, correspondence, summaries, and other legal documents. (10%)Conducts initial factual and investigatory research to help develop the issues of a case. Prepares summaries of findings. Researches statutes, regulations, court rules, policies and procedures. (10%)Assists with Office of Legal Counsel duties and responsibilities, including but not limited to processing subpoenas and facilitating Texas Public Information Act requests. May review and proofread policies, guidelines, and procedures. (10%)Performs related work as assigned. Keeps supervisor informed as required or as necessary. (5%)Registrations, Licensure Requirements or CertificationsKnowledge Skills AbilitiesKnowledge of office administration and operations. Skill in use of computer software applications including, but not limited to Microsoft Office (Outlook, Word, Excel, PowerPoint, and Teams), and Adobe Acrobat Pro.Skill in creating presentations and or materials for dissemination. Skill in collaborating and establishing and maintaining effective working relationships. Skill in communicating orally and in writing.
