GENERAL DESCRIPTION
The License and Permit Specialist performs essential licensing work, including receiving and reviewing applications, ensuring compliance with relevant policies, administrative codes, and statutes. Specialists communicate effectively with both external and internal customers and are responsible for the approval of licenses.
EXAMPLES OF WORK PERFORMED
- Application Processing: Receive and review license applications, revisions, and renewals for completeness, accuracy, and compliance with state and federal regulations.
- Data Entry: Input license applications, payments, and technical data into appropriate computer applications and databases.
- Issuance: Issue licenses, collect associated fees, and process reimbursements for denied applications.
- Record Maintenance: Maintain records related to applications, fee payments, and violations, and complete necessary forms to approve or deny applications.
- Customer Support: Provide technical assistance and answer inquiries regarding licensing requirements to the public, agency staff, and government officials.
- Administrative Tasks: Perform related work as assigned.
GENERAL QUALIFICATION GUIDELINES
EXPERIENCE AND EDUCATION
- Experience in customer service, clerical, administrative, or technical support work is required. Graduation from a two-year college or equivalent is generally preferred. Education and experience may be substituted for one another.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of office practices and applicable policies.
- Skill in using standard office equipment and software.
- Ability to respond to public inquiries in a timely manner; to implement administrative and technical procedures; to interpret applicable laws, rules, regulations, policies, and procedures; and to communicate effectively.
SPECIFIC TASKS (All Levels)
- Respond to emails and voicemail inquiries promptly.
- Review and process documents for compliance with guidelines.
- Issue temporary and permanent licenses after verification.
- Manage application tracking, renewals, and address/name changes.
- Conduct audits and verifications as necessary.
- Collaborate with management to coordinate workload and enhance operations.
