Administrative Coordinator, Patient Accounting
Department: Physician Billing Office
Job Summary:
- Primarily supports the Associate Vice President of Professional Fee Billing and, as needed, provides back-up support for the Vice President of Patient Accounting. Also provides additional administrative support for office operations.
Responsibilities:
Administrative Support: Schedule and coordinate meetings and appointments in accordance with guidelines set by the Associate Vice President, create and coordinate executive communications, including taking calls, responding to emails and interfacing with clients. Coordinate travel plans, submit reimbursements, handle catering planning, ordering and submitting a check request for payment. Type and/or prepare letters, forms, and documents ensuring proper format, spelling and grammar. Maintain an orderly electronic/manual filing system for efficient document retrieval. Prepare Excel spreadsheets and PowerPoint presentations. Maintain a file of processed items in the departmental electronic filing cabinet. Log items into Lawson upon receipt.
Phone Management: Answer calls courteously and transfer to appropriate parties in an efficient manner. Reflect a service orientation in communications. Ensure continuity of phone coverage.
Office Support: Monitor Patient Accounting Support Log and take appropriate action to resolve issues in a timely manner utilizing the Tenant Request System. Monitor copier paper levels and order copier paper for delivery to designated locations, as needed. Order requested office supplies; coordinate receipt and placement of supplies. Generate desk signs for new employees and employee relocation utilizing the sign database. Package used toner and arrange for return. Follow up with copier issues by investigating and placing a service request with the vendor. Manage conference rooms. Cover for Receptionist, as required. Maintain cubicle and office key inventory, as needed. Utilize Pinnacle software to reset passwords and set up new accounts. Organize and maintain storage room 147. Report safety and cleaning concerns to building management, refill hand sanitizers by the time clocks throughout the office.
Training Support: Track exam scores and questions in Hospital Billing (HB) and Patient Billing (PB) test tracker. Set up monthly HB and PB training schedule, create the offerings, send out the schedule in a mass email and add courses to Outlook calendar. In KnowledgeLink, manage scheduled offerings, upload assessments, print out PB class rosters prior to class and print a copy to give to the front desk. Run the Access-driven QA reports on the Monday of a pay week and email reports out to appropriate managers. Complete the process of uploading new QA data for the training team. Update the website, as needed, using Dreamweaver software.
Other: Utilize principles of time management to ensure responsibilities are met effectively and efficiently. Recommend changes to department procedures to minimize errors and problems. Maintain excellent communications with financial and administrative staffs. Maintain strict confidentiality for all services provided. Performs duties in accordance with Penn Medicine and entity values, policies, and procedures. Other duties as assigned to support the unit, department, entity, and health system organization.
Education and Experience:
High School Diploma/ GED (Required).
5+ years of Administrative support experience (Required).
Associate's Degree (Preferred).
Skills and Abilities:
Advanced Microsoft skills with an ability to become proficient with firm-specific programs and software.
Close attention to detail, ability to multitask, excellent organization skills and the ability to set appropriate priorities.
Excellent verbal and written communication skills and a commitment to meeting deadlines.
