Program Administrative Specialist /This is a Part-Time (.60FTE or 24 Hours Per Week), Temporary, Contractual position. */ /(Tuesday, Wednesday & Thursday)/ *The University of Maryland School of Medicine (UMSOM), Center for Advanced Research Training & Innovation (CARTI)is currently recruiting for apart-time, contractual Program Administrative Specialist. Under limited supervision, is responsible for work requiring program administrative skills for the efficient operation of a scholar cohort program, and center administrative operations. UMB is a public university and constituent institution of the University System of Maryland. All employees are expected to work primarily physically within the State of Maryland. * *Responsibilities: * Manage CARTI scholar’s training track cohort programs. o Recruit lecturers, and schedule CARTI scholar presentations. o Confirm presenters’ participation in upcoming lectures. o Create and distribute CARTI presentation surveys. o Create data survey reports to send to scholars, presenters, and CARTI leadership. o Send reminder emails/calendar invites to CARTI scholars/leadership. o Collect PowerPoint slides from presenters. o Manage attendee counts of all events. o Attend weekly staff meetings to update CARTI leadership on all scholar training track processes; ask/answer questions related to CARTI scholars. o Record Zoom meeting lectures; upload PowerPoint presentations and recordings to Blackboard. o Manage CARTI lecture calendar & send out invitations to meetings. o Reserve meeting rooms, order food (if necessary), and set up meetings/events. o Ensure equipment is working, snacks & drinks are available and fully stocked for in-person meetings. o Gather data for use in the formulation of the organization’s budgets, proposals, and annual reports. Order all office supplies. * Research travel and hotel options for upcoming business trips. * Schedule meetings and create zoom invites as needed for the Center Director. * Assist the Operations Director by updating the Center Director’s CV as needed. * Assist the Operations Director by managing and tracking the Center Director’s Continuing Medical Education (CME) credits. * Prepare emails, letters & reports as needed. * Answer main office phone line; greet guests. * Deliver and/or pickup items from other offices. * Manage FedEx shipments, if needed. * Perform other administrative duties that have a significant impact on the overall goals of the Center, as assigned. Education:Bachelor's Degree Experience:Four (4) years experience in administrative staff work. Required Knowledge/Skills/Abilities: Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities. Other: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
