For our growing Facility Management organization at a client in the Life Sciences sector in Basel (BL), we are looking:
Receptionist
Responsibilities:
Reception tasks:
•Receives and directs incoming calls to appropriate personnel and voicemail.
•Greets and announces clients, applicants and visitors. Follows security procedures for recording guests, suppliers and other visitors. Arranges escorts as needed. Issues visitor passes and validates parking.
•Assists with scheduling and preparing meeting and conference rooms. Coordinates setup of conference/meetings rooms.
•Coordinates catering for meeting and events. May negotiate pricing and menus. Secures approvals for catering expenses and reviews invoices to arrange billing to appropriate department or business unit.
•Performs general clerical duties associated with distributing office packages and mail as required. Arranges delivery service pick-up as needed.
•Orders office supplies and other common use items for the location, such as café or cleaning supplies, printer paper, etc.
•Maintains neat appearance reception area. Requests building and housekeeping services as needed. Periodically inspects common areas and supply storage.
•Maintains records and logs of service requests and tracks their status.
•Customer care via telephone & e-mail in English and local language(s)
•Processing and forwarding the mail that arrives daily (e.g. tax assessment notices, administrative offences, information letters)
•Performs other duties as assigned.
Person Specification/Requirements:
•Minimum 2 years’ experience in similar position
•Strong administrative and communication skills
•Strong Excel knowledge is an asset
•Fluent in English, German is a bonus
