About This Role:

The Development Coordinator must possess strong communication and project management skills, with a keen attention to detail. They should be flexible and willing to take on various job assignments, including the ability to sit for extended periods. Additionally, they must be willing to cross-train and work independently once they are sufficiently oriented to their responsibilities

What You’ll Do – Position Responsibilities:

  • Responsible for greeting visitors, answering, and routing incoming calls as needed, manages proper office coverage through lunch periods. Provides complex administrative and operational support to the department as assigned by the Foundation Director. Provides back up phone coverage for University Advancement suite.

  • Manages office supply/equipment inventory including purchases, when need, with approval of the Director.

  • Manages Foundation correspondence including properly recording in Millennium data base which serves as the primary records and filing system.

  • Collaborating with the Director manages Board portal software for content and user activity. Manages communication with trustees for Board portal access questions. Assists Director in coordinating Foundation Board meetings including Board portal material, room set-up and breakdown, reserving space and technology/media support.

  • Manages and coordinates with appropriate Foundation staff compliance with Retention & Destruction Policy.

  • Under the supervision of the Foundation Director and coordinating with Major Gifts Officers prepares governing agreement drafts and final documents for all funds, endowments, and planned gifts. Prepares, coordinates, and manages governing agreements for signature, manages governing agreement distribution to appropriate Lamar University divisions, faculty, and staff. Works follow up to ensure proper set-up in Millennium.

  • Research and Inquiry Assistance by assisting the Foundation Director with researching donor and University inquiries concerning gifts and governing agreements.

  • Request to Pay ( RTP ) Package Management: Receive and manage incoming RTP packages, ensuring compliance with Foundation and University policies and procedures. Record all RTP disbursement checks and manage their delivery via USPS , overnight, pickup, and hand delivery to the Lamar University Cashier’s Office. Manage Xtender online scanning and file management of completed RTP packages.

  • Coordinates and oversees ongoing scholarship criteria review ensuring compliance with governing agreement by Lamar University Office of Scholarships and Financial Aid.

  • Manages daily deposit of gift checks via remote deposit under the Supervision of the Staff Accountant. Cross trains in gift processing and RTP coding with Staff Accountant and working with the Foundation Director on additional projects as assigned.

    Key Competencies: (KSAs – Knowledge Skills and Abilities)

  • Proficient in Microsoft Word and Excel.

  • Strong organizational skills.

  • Excellent spoken and written communication skills/phone etiquette.

  • Experience in maintaining databases and spreadsheets.

Physical Requirements:

  • Typically work in an office environment, Monday-Friday 8 am-5 pm in a sedentary position, and depending on the nature of the business, you may be required to work extended hours.

  • Occasionally lift boxes for presentations which may weight 25 lbs. or more. Dexterity, vision, and coordination with the ability to maintain these skills to perform your essential job functions.

Minimum Qualifications

  • Bachelor’s Degree.

  • 5 years of experience in an office environment.

  • Excellent organizational and time-management skills as well as a strong written and verbal communication and interpersonal skills.

  • Software proficiency in Microsoft Office, excel, word, etc.

Preferred Qualifications

  • A minimum of 2 years’ experience in a development or fundraising role.
