Summary: The Executive administration Assistant provides high-level support to the President, and Vice President of HR. This role is essential for streamlining operations, managing calendars, facilitating communication with key external partners, and supporting HR functions. The assistant will function as a gatekeeper for the president, serve as the representative of the organized organization's brand and assist with senior leadership and board meetings this position will also support recruitment onboarding benefit administration and organizational instructional management.

Essential Functions:

Executive Support:

  • Manage complex calendars for president, schedule meetings, travel, and events. Coordinate all internal and external President meetings. Process all expenses in a timely manner.

  • Prioritize and filter incoming communications, acting as a gatekeeper to protect the time and focus of the president. Draft proofread and manage correspondence and reports for both the president & VP HR. Serve as primary point of contact for the president with internal and external stakeholders.

  • Develop PPT and gather information or inputs from various senior team or other management employees to support President meetings. This includes LRP, AOP and other PPT Senior level needs. Assist with Townhall meeting PPT.

  • Point of contact for President and Corporate Executive Assistants

  • Assist in the coordination of programs/events by arranging for facilities and caterer, distributing information or invitations, coordinating speakers, and helping manage budget.

  • Responsible for all legal contracts going into Corporate legal. Facilitate with urgency all CDAs, NDAs, and legal contracts for Applegate. Responsible for the full legal process from submission through approvals. Initiates the training of contract process with staff.

External Relations & Brand Representation

  • Serve as external facing representative for the president, ensuring all communications reflect the organization's brand and values.

  • Coordinate and maintain relationships with critical external partners stakeholders and clients.

  • Take notes during SLT meetings, document action items, and track progress against these items for senior leadership team and the board. Update President on progress.

Human Resources Support

  • Recruitment & Onboarding:

  • Assist with posting hourly roles. Conducting onboarding meetings with new hires. Assist hiring managers with recruitment/posting process. Assist with verifying I-9 documentation for all new hires and entering in Hire Right system.

  • Staffing:

  • Maintain the Oracle HR system and employee information in Oracle including new hires, terminations, and status changes. Ensure data integrity.

  • Update internal HR reports (New hire/term, turnover, roles, employee insights.). Update Barn pages as needed (Org charts, HR page).

  • Support all structure changes by updating/creating organization charts for manager recommendations. Responsible for job description site. Ensure system is working properly. Work with IT and managers. Provide updates to site for JD upkeep. Ensure job description system is running accurately.

  • Back up to Alert Media notifications. Ensure VP of HR approves notifications.

  • Benefits & Leaves

  • Track and maintain employee PTO balances ensuring accuracy and timely updates. Point person with Corp payroll for corrections. Assist managers with ADP inquiries.

  • Coordinate and holding all leave meetings and materials for employees. Oversee third party leave administration handling of NJ or other state leaves insurances for pay accuracy. Point of contact for with Corporate HR teams for leaving employee situations that need attention. Maintain leave records as needed.

  • Assist employees with any benefit or leave questions.

General Administration Functions

  • Manage confidential and sensitive information with discretion and professionalism.

  • Prepare, organize and file documents and reports as needed.

  • Builds and maintains positive working relationships with employees, corporate partners, and other external contacts.

  • Perform other administrative tasks as requested by the President and VP of HR.

Position Requirements:

  • Bachelor’s degree or related work experience

  • 2 years’ proven experience as an executive Assistant, administrative assistant, or similar role, supporting executives. recruitment and employee experience programs or related experience.

  • Takes initiative.

  • Strong organizational skills, with the ability to manage multiple tasks simultaneously and work under pressure.

  • Exceptional attention to detail and accuracy.

  • Ability to maintain confidentiality and handle sensitive information with professionalism.

  • Proven ability to prioritize, meet deadlines.

  • Excellent communication skills (both written and verbal) with the ability to interact professionally with internal and external stakeholders.

  • Strong technological skills, including proficiency in web-based recruiting tools such as Microsoft Office Suite, Teams, One Note, and Outlook, SharePoint and Visio or other organization chart programs highly preferred.

  • Ability to work in a fast paced, open environment.

  • Exhibits passion for Organic and Natural industry.

Working Conditions:

  • Ability to type and work with a computer 95% + of the time.

  • Travel less than 5%.

  • Ability to work in an open office, fast paced environment with frequent distractions and interruptions.

The base pay is one part of our total compensation package and is determined within a range. The base hiring pay range for this role is between $24.75 - $34.75 per hour, and your actual base pay within that range will depend upon a variety of factors including, but not limited to, job-related knowledge, skill set, level of experience, and geographic market location.
