The Senior Executive Assistant to the President manages the operational details and coordinates the various business-processes for the Presidents office. Supports the President and works closely with the Presidents direct reports, such as the members of the College Leadership Team and the College Advisory Committee. The assistant is required to handle high-level, sensitive information with efficiency and confidentiality. Supports the communication between the Presidents office and the colleges employees and students. Assists with meeting plans, notetaking, and travel arrangements. Provides support as needed with college matters such as new employee orientations, United Way drives, and graduations.

Required Qualifications

Associate Degree required

Three years of progressive administrative assistant experience with proven increasing levels of responsibility.

Outstanding organizational skills and proficiency in business correspondence, office practices and office equipment (computer, phone, fax, and copier) are required.

Excellent computer and technology skills, including Zoom and Microsoft Office Suite skills (Outlook, Word, Excel, PowerPoint, and Microsoft Teams), are required.

Exceptional English language skills, grammar and spelling skills are required.

Must be skilled in maintaining effective relations with administration, employees, and the general public.

Must possess attention to detail, a positive attitude, exceptional communication skills, strong interpersonal skills, and ability to ensure confidentiality.

Ability to work on multiple projects, track and prioritize tasks, and meet deadlines is crucial.

Must demonstrate flexibility, and the ability to work effectively in a team environment.

Salary

Starting at $45,000

Typical Duties and Responsibilities

  • Serves as the Senior Executive Assistant to the campus president.
  • Manages the daily operations of the Presidents office, including taking telephone messages, processing mail, and managing the Presidents schedule.
  • Prepares correspondence, reports, and other documents.
  • Maintains working and historical files.
  • Greets and screens callers and visitors to the Presidents office.
  • Assists the President with meeting agendas, taking notes, and preparing materials for various college groups, including College Leadership, College Advisory Committee, and the College Calendar Committee.
  • Assists in the preparations, including ordering of supplies and food, for college meetings and events.
  • Arranges meetings, conferences, and special events, on and off-site, for both internal and external requests. This includes coordinating with maintenance, IT, and other departments as needed.
  • Makes travel arrangements and processes travel expenses for the President andSCCemployees, utilizing funds from multiple budgets in coordination with college and district leadership.
  • Processes requisitions and maintains purchase orders for the Presidents budget. Tracks each object codes balance.
  • Processes Personnel Action Forms (PAs).
  • Provides campus orientations to all newSCChires.
  • Assists in the preparation of materials for Board meetings.
  • Provides leadership for the United Way drive forSCCeach year.
  • Assists in providing backup for other departments as needed, including Student Development, Operations, and activities for Student Engagement.
  • Demonstrates commitment to the principles of Continuous Quality Improvement and to providing outstanding service to internal and external customers.
  • Performs all other duties as assigned.
