Job Description

We are seeking a detail-oriented and organized Shared Services Associate to handle administrative tasks within our Shared Services team. The ideal candidate will support various business functions by managing documentation, coordinating processes, and ensuring smooth day-to-day operations

Able to present data through tools such as Power BI or advanced excel.

Responsibilities

  • Provide an excellent customer service experience to the employees/leaders reaching out to the People Solutions Center.

  • Analyze the concerns and the root cause of the issues.

  • Conduct audits of the different processes being carried out, find and resolve any findings found.

  • Address the situation to grant the correct closure.

  • Partner with local teams to ensure an adequate treatment of the inquiry.

  • Keep metrics and record of the different processes performed to ensure a right service

  • Perform general administrative tasks, including data entry, document management, and report generation.

  • Assist in processing invoices, purchase orders, and expense reports.

  • Coordinate with different departments to streamline workflows and ensure timely completion of tasks.

  • Maintain records, databases, and spreadsheets with accuracy and confidentiality.

  • Handle internal and external communications, including responding to emails and inquiries.

  • Support PS, finance, or procurement teams with administrative duties as needed.

  • Assist in scheduling meetings, preparing agendas, and taking minutes.

  • Ensure compliance with company policies and standard operating procedures.

  • Identify opportunities for process improvements and contribute to efficiency initiatives.

Qualifications

  • Proficiency in MS Office Suite (Excel, Word, Outlook, Power Bi)

  • chelor’s degree in Human Resources, Administration, Accounting, or related field.

  • Proven experience in payroll or HR administration, specifically with LOA processing.

  • Strong knowledge of Colombian labor laws and payroll practices.

  • Analytical mindset and problem-solving skills.

  • Well-developed planning and organizational skills, with a proven ability to prioritize tasks and effectively manage your workload

  • Computer literate (Microsoft Office Suite and ability to learn other technology systems)

  • Ability to handle sensitive information with discretion

  • Excellent Oral and written communication

  • Well-developed problem-solving skills, with the ability to construct, document and communicate answers to questions.

  • Ability to manage multiple tasks

  • Consistent past performance on meeting SLAs and targets

  • Knowledge of ERP or workflow management systems (a plus).

Working Conditions

  • Office/home environment.

  • Majority of time will be spent on feeding/reviewing the Information Systems and answering inquiries to employees and/or managers and running follow ups on the same.
