Here is some of what you will do: Administrative Function Assist the Facility Management Team with tactical planning for the team's goals and objectives. Expertise in soft service operation. Provide facility-specific assistance to the project management team as needed or requested. Manage and maintain facility management tasks as assigned. Coordinate special events in support of the client or JLL. Provide support for meetings and conference room reservations as needed and directed. Assist with the coordination and scheduling of maintenance activities. Oversite and manage Work Orders in the client's CMMS system, PlanOn. Communication and Relationship Management Provide general overall facility management services including continuous monitoring of the campus. Act as an interface with the client, visitors, and guests. Ensure appropriate follow-up with customers. Provide direction/information to vendors, facilities staff, and service providers as required to ensure excellent coordination/execution of work within the client environment with minimal disruption.
Program Analysis and Development Develop and implement innovative programs, processes, and procedures that reduce short- and long-term operating costs and increase productivity by working closely with the Facility Management lead and the client. Develop monthly/quarterly variance reporting on all operating budgets for each property on a timely basis. Assist with the development and implementation of the annual management plan for the buildings within the area. Oversee the development and management of the capital and expense budgets by interfacing closely with the client representative.
Compliance & Vendor Management Support compliance with JLL's minimum audit and compliance standards in facility management, financial management, and operational policies and procedures. Meet or exceed site Key Performance Indicators (KPIs); monitor Service Level Agreements (SLAs) monthly to identify potential challenges and plan corrective actions accordingly. Enforce all Company policies and training requirements regarding safe and efficient operations and work practices. Implement and monitor hazard control and team safety practices, and ensure compliance with local codes and regulations and JLL standards. Assist with budgetary requests, analysis, and reporting. Assist with researching, analyzing, and reporting budget variance. Monitor overall service delivery of vendor partners. Coordination with vendors for resolution of service issues. Evaluate vendor performance. Ensuring that the subcontractors are meeting their commitments on scheduled delivery of training. Operational Risk Management Update and implement Emergency Response plans; drills etc. as required. After office hours facilities assistance response. Operational Audits and Compliance. Escalation of Incidents/Problems.
Who we are looking for: Required 4+ years of facilities management experience in the corporate environment, third-party service provider, or as a consultant. Proficiency with Microsoft Office Preferred A bachelor's degree
