Novo Nordisk Senior Administrator in Boulder, Colorado

About the Department

The Boulder Site is home to the specialized technical operations/CMC team for oligonucleotides and RNAi therapeutics, continuing its legacy as the hub for all manufacturing-related activities for GalXC™ and GalXC-Plus™ investigational therapeutics developed from Novo Nordisk’s acquisition of Dicerna Pharmaceuticals, Inc. in December 2021. With a new laboratory completed in 2021 to support analytical and process development, the CMC team works alongside Quality, Regulatory, Technical Operations and RNAi Early Development professionals at our Boulder, Colorado facility and works closely with our teams in Lexington, Massachusetts. The Position

This individual will play a key role in providing administrative support for VP level executives. This position requires a close working relationship with the existing team members and must have the ability to work independently on projects and to work under pressure. This position may include administrative team support in other areas of the site as needed; site events, large team meeting support, team building activities, back-up coverage for other admin team members as needed.

Relationships

Reports to Vice President – Medical & Science.

Essential Functions

  • Assists with complex schedules and meetings for multiple levels of the Development organization, which includes providing administrative support to various teams within the Development organization. This also includes coordinating conference calls, remote meetings and managing all details and logistics

  • Assists with logistical support for industry meetings and advisory councils, such as KOL, Scientific and Medical Advisory Boards

  • Assists with visitor logistics, meeting planning, meet & greet, pre-registration

  • Actively supports internal teams, as appropriate, to assist with industry conference coordination, calendar management, oversee international and domestic travel working closely with dedicated travel partner

  • Responsible for ensuring that high quality standards and efficient processes are followed

  • Takes an active role in creating a positive first impression of Novo Nordisk for all employees, suppliers, consultants, and visitors and retains a strong customer service mentality

  • Understanding of financial systems and processes, assisting with preparation of Purchase Orders for entry into VenDi, Ariba CMS systems or other applicable systems. Prepares and processes expense reports for corporate card holders, using Concur, including reconciling charges for operational expenses for senior members of the team

  • Maintains Boston Global Development Sharepoint site and department organizational charts

    Physical Requirements

    0-10% overnight travel required.

    Qualifications

  • Minimum of 10 years of experience as an administrative assistant; experience as a Senior AA or EA preferred

  • Must exercise a high degree of professionalism, diplomacy and discretion in handling confidential information and sound judgment and confidentiality

  • Comfortable collaborating with all levels of the organization, which include MDs, PhDs, Master levels and others with varying experience and expertise, as well as with external customers and vendors

  • Ability to work independently and collaboratively, act as role model, provide leadership and guidance to administrative support team

  • Exceptional Microsoft Office applications including PowerPoint, Excel, Word and Outlook, complex calendar management of multiple calendars, using sound decision making and time management skills

  • Outstanding customer service skills, internal and external customers

  • Forward thinking, ability to foresee and address conflicts before they arise

  • Problem solving skills

  • Strong written and verbal communication skills

  • Excellent organizational skills and attention to detail

  • Associate’s degree or above preferred

    The base compensation range for this position is $73000 to $95000. Base compensation is determined based on a number of factors. This position is also eligible for a company bonus based on individual and company performance.

Novo Nordisk offers long-term incentive compensation and or company vehicles depending on the position's level or other company factors.
