The Payroll Administrator II is responsible for all payroll related processing including statutory tax filings and associated general ledger entries. This position analyzes and resolves discrepancies and ensures that internal payroll policies and procedures are consistently followed.

Responsibilities:

Main:

  • Support payroll advisor with biweekly payroll processing activities (in compliance with wage and hour laws and meeting company deadlines)

  • Audit HRIS interface data from HR status updates for increases, new hires, terminations, leaves of absence, benefit changes, address changes, and title and department changes

  • Maintain accurate and timely employee payroll data including attendance and vacation records

    Other:

  • Reconcile and analyze payments for payroll tax withholdings, retirement plan contributions, garnishments, and all other withholdings ensuring that statutory due dates are met

  • Prepare payroll journal entries and provide support to Accounting on payroll account reconciliations

  • Process all non-cash compensation transactions including stock options, employee awards, relocations and other programs

  • Register and maintain tax agency accounts

  • Prepare and process year end wage tax information

  • Execute and maintain all court-ordered withholdings

  • Create ad hoc reports upon request

  • Document and update all payroll procedures as needed

  • Maintain proper payroll records to support internal and external audits

  • Keep current on all payroll-related laws, policies and regulations through on-line and written resources, and attending payroll seminars as needed

  • Provide support participate all payroll system upgrades and integration projects as needed

  • Maintain strict confidentiality of payroll records

    Possibly support other payroll countries

Qualifications:

  • Bachelor’s degree diploma or bachelor’s degree study required preferably in Finance/Economy

  • Must be able to communicate in French (Canadian French is big advantage) and English spoken and written.

  • Advanced level of Excel

  • 1-2 years of related experience is advantage

  • Knowledge of statutory payroll laws and payroll accounting practices (knowledge of Canadian payroll laws is big advantage)

  • Ability to meet all payroll and accounting deadlines

  • Must be highly organized, independent and detail minded

  • Ability to communicate effectively both oral and written with a customer service approach

  • Ability to work within a team environment and possess skills to support process change

  • Ability to partially work in the afternoon hours (Monday, Tuesday every other week)

    Preferred Requirements:

  • Knowledge of ADP applications especially WorkForceNow is advantage

  • Knowledge of Employment Standards and Payroll legislation for various provinces especially Quebec, Ontario and British Columbia is advantage

  • Knowledge of VBA macros is advantage

  • Knowledge of any other automation tools like PowerQuery, PowerBI is advantage
