Phipps Houses Tenant Liaison in Bronx, New York

Phipps Houses is one of the nation’s oldest and largest not-for-profit developer/owners of affordable housing. It is a multi-faceted real estate organization, involved in the development, finance, construction and asset management of new and rehabilitated multi-family housing for low to middle-income New Yorkers. Through its subsidiary, Phipps Houses Services, Inc., it conducts residential and some commercial property management, and it’s tax-exempt affiliate, Phipps Neighborhoods, provides human services to its development communities.We seek an exceptional individual to join our property management team in the Bronx. This individual needs to be highly organized, can juggle many tasks at once, and is not easily overwhelmed. You have strong computer skills and a pleasant demeanorYou have a high energy level, are driven to complete tasks, are committed to high standardsand intuitively anticipate the needs of others.You are highly detail-oriented and have strong organizational and project management skills. You take pride in helping the team be successful. Responsibilities: Serve as liaison between tenants and staff, providing exceptional customer serviceMaintain a professional demeanor and provide exceptional customer service to both internal and external customersServes as the main contact for tenants during the day and is responsible for following up on Call Center work order request calls reported to the hotline and company emailFollow up with tenants to ensure completed work order requests are satisfactoryScan and save customer correspondence, property reports, and other related documents to the company network driveAssist tenants with understanding ledgers and resolving rent issuesAssist residents in setting up online rent payments through services such as Pay Your Rent and Rent CaféOrder/maintain office inventory, equipment and suppliesAssist with annual apartment inspections.Provide Administrative support for Management StaffOrganize and file documents as neededPrepare notices and tenant correspondence as neededDistribute mail dailyTrack court stipulations and related tenant paymentsPerform other related duties as assigned Required skills and experience: Bilingual (Spanish) Candidate preferredThree (3) years of experience in office administrationMinimum Education: High School Diploma required; Associate degree or higher preferredProficiency in Microsoft Outlook, Excel, and Word and Adobe Acrobat Pro essentialAbility to communicate effectively and clearly, both spoken and writtenAbility to analyze problems and provide options for solutionsAbility to prioritize and manage multiple priorities in high-demand, deadline-driven environmentAbility to build and maintain strong customer serviceYardi - 1 Year experience preferred Physical demands: While performing duties of the job, employee is occasionally required to stand, walk, and sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk and hear. Employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by the job include close and distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
