Description We are offering a permanent employment opportunity for a Medical Administrative Assistant in Chandler, Arizona. The role is within the healthcare industry and encompasses a variety of administrative tasks. The workplace is a dynamic and fast-paced environment where you will be the key to smooth office operations.
Responsibilities:
• Maintain an organized and efficient filing system, ensuring all correspondence and records are accurately stored
• Handle inbound telephone calls in a detail oriented manner, screening them as necessary, and taking detailed messages
• Schedule appointments and coordinate calendars, keeping all involved parties updated on schedule changes
• Welcome and assist visitors, providing a detail oriented and friendly first point of contact
• Oversee the distribution of daily mail and overnight packages, and manage sending and receiving of faxes
• Initiate, write, and distribute detail oriented correspondence, emails, and faxes, utilizing individual initiative and discretion
• Facilitate meetings, which may include preparing agendas, distributing materials, reserving facilities, and transcribing minutes
• Manage office supplies, ensuring adequate stock levels are maintained, and coordinate equipment maintenance
• Handle the office petty cash fund and oversee reimbursement procedures
• Participate in the development and implementation of department systems and procedures as needed
• Execute general clerical duties such as photocopying, faxing, and mailing
• Assist with special projects as assigned, demonstrating flexibility and a willingness to engage with a variety of tasks. Requirements • Proficient in filing and managing patient records and documents
• Skilled at answering inbound calls, handling inquiries, and scheduling appointments
• Capable of ordering, managing, and maintaining office supplies
• Experience in a medical or healthcare setting is preferred
• Knowledge of medical terminology is a plus
• Excellent communication and interpersonal skills
• Ability to multitask and prioritize tasks effectively
• Strong organizational and administrative skills
• Proficiency in using office software like office suite applications
• High school diploma or equivalent; further training will be a plus
