Job Summary

This role manages academic, research, clinical or administrative programs of the University.

Responsibilities

  • Manages the Pozen Center\'s course administration. This includes anticipating and resolving issues by collaborating with the Faculty and Executive Directors , Office of the Registrar, academic departments, and divisions as needed on course distribution throughout the year, cross-listing questions, and course size limits, etc; communicating with faculty instructors about curriculum questions and teaching logistics; and overseeing Pozen Center annual schedule of courses with the College catalog and new Academic Information System.
  • Collaborates with directors and divisional administrators to advertise, hire, and appoint teaching assistants for human rights courses.
  • Works closely with directors to maintain student records, promote human rights events, and build stronger connections between students.
  • Develops internal tracking procedures for course information, maintains records, and updates Web content. Compiles information and creates custom reports on academic information for various Pozen Center annual reports.
  • Develops, designs, and delivers orientation to visiting professors, postdoctoral instructors, and student staff on University academic systems and Center operations.
  • Manages all financial disbursements, student and visitor payments, GEMS reconciliation, and procurement under very limited supervision. Makes recommendations and for improving Center procedures for payments.
  • Resolves routine and complex payment questions through problem solving and research in order to independently create solutions. Stays informed of activities relating to University financial systems and payment procedures.
  • Researches and stays informed of procedures for payments to international students and visitors.
  • Makes recommendations for budget allocations for operational expenses.
  • Collaboratively manages the daily operations of a small organizational unit in a university setting. In collaboration with Deputy Director, develops and implements office procedures and policies.
  • Evaluates and approves requests to use Pozen Center space. Creates and delivers training about building procedures for internal staff, student groups and external groups that use Pozen Center space after hours.
  • Manages space, facilities, supplies, and equipment, including purchasing office equipment and supplies. Researches and develops relationships with new vendors, new or better services or supplies are needed.
  • Develops new agreements with vendors.
  • Sets and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate.
  • Analyzes program budgets and recommends or makes budgetary recommendations.
  • Performs other related work as needed.

Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.

Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Preferred Qualifications

Education:

  • Bachelor\'s degree.

Experience:

  • Minimum of three years of office or financial management.
  • Previous university administration experience.

Technical Skills or Kno ledge:

  • Proficiency in word processing, spreadsheets, databases, and web-based applications.
  • Quickly learn course administration and financial systems.
