The Office Administrator/Projects Assistant will contribute to the organization by assisting with the organization and implementation of various projects and enhancing employee engagement through people-focused initiatives. This part-time role balances project coordination with people-focused responsibilities, such as assisting with team-building activities and programs like an employee volunteer initiative. The Coordinator will also provide administrative support to ensure smooth operations. This position is based at our Lake Bluff office and offers flexibility while still allowing for occasional travel to the Chicago office as needed.
Responsibilities
Coordinate and assist with diverse projects across departments, ensuring they align with organizational goals.
Track project progress, resolve challenges, and maintain accurate documentation.
Collaborate with internal teams to ensure smooth execution and communication of project objectives.
Organize and prepare materials for project-related meetings.
Develop and coordinate employee engagement programs, including team-building activities and volunteer initiatives.
Support HR efforts by analyzing employee engagement feedback and recommending improvements.
Assist in planning and executing company events, celebrations, recognition programs, and non-profit fundraising events.
Act as a liaison between HR and project teams to align people-focused initiatives.
Maintain organized records of projects and programs.
Assist with scheduling meetings, managing calendars, and preparing agendas.
Provide general office support to ensure day-to-day efficiency.
Essential Skills
2-3 years of Project Management Experience
Strong organization and communication skills
Bachelor's Degree
PMP or AMP certified
Bilingual in Spanish
Additional Skills & Qualifications
Experience in coordinating cross-departmental initiatives
Familiarity with employee engagement tools or methodologies
Work Environment
This position requires commuting between the Chicago and Lake Bluff offices. The role offers a flexible commuting schedule, working full-time 40 hours a week. If commuting to Chicago is not possible, the role can be based out of the Lake Bluff office for 30 hours a week, as there is not enough work at Lake Bluff for a full-time employee. The work environment involves assisting with events, team-building activities, and other administrative duties as assigned. The role reports to the VP and heavily collaborates with other team members to ensure smooth operations.
Pay and Benefits
The pay range for this position is $27.00 - $35.00/hr.
