PROJECTS ADMINISTRATOR
DEPARTMENT OF PUBLIC HEALTH

Starting Salary: $86,520.00

Under direction, the class is managerial in nature and accountable for senior manager level functions; positions allocated to this class are characterized as having a broad scope of management responsibilities and performs related duties as required Positions are allocated across all city departments and have a wide range of functions. Examples of core functions characterizing this class, and specific assignments to city departments are provided below with the intent of providing parameters to adequately describe the level and scope of duties and responsibilities performed by these positions
ESSENTIAL DUTIES
Manage and direct a major and large-scale program or project of significant size and scope in terms of budget, operations and/or staffing
Directs and monitors billing processes for STI clinics
Consult with staff to determine scope of services, budgets and specifications for projects, establish timelines and implement processes to track and monitor the progress of projects and the accomplishment of key objects
Functions as a specialized advisor to executive level managers or functions as a technical specialist or expert level professional in a specific technical area or operational area
Draft memos and letters to the City of Chicago offices, and funders
Assist indirect programs with vendor payments
Oversee the communication and recovery of required contractual documents
Collaborate with the grants office to complete and submit grant budgets and carryover request
Prepare and analyze budgets and reports to make necessary recommendations for financial planning, prepare, approve and monitor expenditures, budget revisions, financial reporting, prepare forecasting models, set year-end encumbrances, and act as the primary liaison with grants and finance departments to monitor budget controls.
Coordinate personnel movement on Master personnel list
Manage unit/bureau personnel tracker to monitor movement of vacant and active positions
Work with Chicago PAR, finance department, and Office of Budget Management
Manage personnel movement activities within budgetary allocations, cost allocation plan, organizational charts, PARs and hire plan
Submit, view, and edit documents and correspondence in Grant Solutions
Update select data in Evaluation Web (SAMS)
Monitor and serve as liaison between the Chicago Department of Public Health and outside agencies
Additional duties may be required for this position
Location: 1340 S. Damen, 4 th Floor
Days: Monday – Friday
Hours: 8:30am – 4:30pm

Qualifications:
MINIMUM QUALIFICATIONS
· Graduation from an accredited college or university with a Bachelor's degree in Business or Public Administration or a field of study directly related to the responsibilities of the position, plus five years of project management work experience, or an equivalent combination of education, training and experience

SELECTION REQUIREMENTS
This position requires applicants to complete an interview which will include a written exercise/or a skills assessment test as part of the interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position, based on the oral and written parts of the interview will be selected .
