The Pritzker School of Molecular Engineering (PME) was established in May 2019 and evolved from the Institute for Molecular Engineering, founded in 2011. The PME integrates science and engineering to address global challenges from the molecular level up. The PME\'s rigorous academic and research programs are made possible through the University of Chicago\'s unique partnership with Argonne National Laboratory. The Pritzker School of Molecular Engineering is the first new school at the University of Chicago in three decades and the first school in the nation dedicated to molecular engineering. In the next phase of growth as a School, the PME will continue to expand its team of world-class faculty researchers and empower students from diverse backgrounds to collaborate with faculty in cutting-edge facilities. The PME aims to bring solutions for urgent societal problems to the forefront, while training the next generation of scientific leaders and entrepreneurs.

Job Summary

The PME seeks a Senior Award and Contract Administrator to manage the post-awards and contracts administration for faculty. Reporting to the Director of Budget and Accounting, the Senior Award and Contract Administrator will manage the grants, contracts, subcontracts, material transfer agreements, patents, and gifts for faculty. Providing professional support and solving straightforward problems for various grants and contracts, business operations, and fiscal budgets for the faculty. The Senior Award and Contract Administrator will be responsible for post-award research administration tasks, as well as some new proposal submissions, budgeting for proposals, reviewing and negotiating contracts, and semiannual and annual reporting of all submitted and awarded grants and contracts.

Responsibilities

  • Manages and reviews the terms of new awards and sets up projects in the grant tracking and financial system appropriately to allow for notification and PI spending.
  • Manages the post-award activities to ensure compliance for issues involving allowable costs, re-budgeting, and reporting requirements, faculty time and effort monitoring, cost sharing and spending limitation, etc.
  • Facilitates, reviews, and approves budget revisions and cost transfer requests in compliance with sponsoring agencies\' regulations and University policies and procedures.
  • Processes and submits prior approval requests to the sponsor that include actions such as cost extensions, budget transfer requests, and requests for additional funds. Drafts and submits these requests to the funding agency when necessary.
  • Serves as primary resource for post-award grant questions; communicates with, recommends, and advises faculty and staff regarding post-award issues; requests corrections and resolves discrepancies; interprets rules, regulations, and compliance issues with respect to sponsored awards.
  • Provides guidance and training to other awards and contract specialists.
  • Reviews and negotiates continuing projects and amendments to existing grants, contracts, cooperative agreements, and incoming and outgoing sub awards.
  • Works with the PI and administrators to close out projects in accordance with the sponsor and University closeout guidelines and requirements.
  • Works in collaboration with the PI and the Office of University Research Administration to facilitate the timely submission of all agency-required project reports.
  • Creates and executes sub-award agreements for all new and existing awards, as well as process budget changes, extensions, and closeout procedures during and throughout the life of the sub-award.
  • Assists management in the preparation of ad-hoc reports.
  • Monitors compliance with sponsored project-related time and effort commitments and federal effort reporting requirements.
  • Participate in special projects such as, the development and presentation of training workshops, drafting, updating, and amending post-award processes, procedures, and report development.
  • Through interaction with a variety of federal and non-federal funding agencies, faculty, and staff, provides professional assistance with full authority in the administration and coordination of proposals and awards in research and training.
  • Provides faculty and administrators with application preparation, analyzing possible solutions to problems that arise using standard procedures. Reviews, interprets, and negotiates contract and grant terms to determine compliance and/or conflict with federal regulations and procedures.
  • Performs other related work as needed.

Minimum Qualifications

Education:

Minimum requirements include a college or university degree in related field.
