Senior Billing Specialist (Chicago Loop) - Hybrid Role

3 days in-office, 2 days remote | $77,000 - $90,000/year

Overview:

Our client in the Chicago Loop is hiring a Senior Billing Specialist to manage the billing cycle for a portfolio of shareholders. This role ensures timely and accurate invoicing, collaborates with clients and internal teams, and drives process improvements. Applicants with 3E accounting software experience and 5+ years of legal billing experience may be eligible for a sign-on bonus.

Responsibilities:

• Review and bill attorney hours, disbursements, and proformas

• Apply retainer/unallocated funds and BOA charges

• Process write-offs according to firm policy

• Execute complex billing tasks efficiently

• Mentor and train new billing staff

• Manage high-volume, complex client billing arrangements

• Monitor WIP (Work in Progress) and AR (Accounts Receivable)

• Update rates and split billing credit allocation in 3E

• Handle administrative tasks (rate updates, electronic submissions)

• Communicate effectively with attorneys, secretaries, and clients

• Address billing inquiries, split billing, rate issues, and discrepancies

• Generate billing reports and support special projects

Skills & Qualifications:

• 5+ years of legal billing experience required

• Proficiency in billing software (e.g., Elite, 3E) and Microsoft Office

• Strong attention to detail and the ability to prioritize in a fast-paced environment

• Ability to handle confidential information professionally

• Excellent verbal and written communication skills

• Problem-solving, analytical, and organizational skills

• Ability to work independently and manage deadlines

• Experience with E-Billing platforms and accounting best practices

• Ability to mentor and assist with special projects

Education:

• Bachelor's degree preferred
