Job Description The Brothers Construction Administrative Assistant position is responsible for coordinating and overseeing alladministrative duties , while also assisting with project management coordination, performing invoice reconciliation, month-end closing and payroll activities. Responsibilities include following company policies, procedures and maintaining strategic relationships with customers and document control. Responsibilities - Develop and maintain network of professional relationships within the construction industry, to include customers, suppliers, and employees. - Provide administrative duties to field incoming calls, emails, and other correspondence. - Organize and analyze employee time reports; prepare payroll on a weekly basis. - Maintain company expenses with accounting software; provide reports as required by the team to assess profitability. - Design, implement and manage a document retention protocol for all office management systems. Ensure company procedures and internal control requirements are met. - Contributes to team effort to ensure project financial needs and objectives are understood and met. - Organize and file documentation to include contracts, purchase orders, payment applications and job costs. - Document estimating and bid activities and keeping team members informed. - Manage executive team calendars. - Prepare correspondence, reports and presentations. - Track project timeline and milestones. - Assist in preparing project status reports. - Maintain project documentation and tracking spreadsheets. Qualifications High School Diploma or equivalent . Must be proficient with computers including QuickBooks, Microsoft Word, Excel, PowerPoint, Outlook, etc. Excellent verbal and written communication skills. Ability to manage multiple projects at the same time. Ability to work independently or as a member of a team. Exceptional organizational, problem-solving and critical thinking skills.
