We are seeking a highly organized and proactive Administrative Assistant to provide exceptional support to our Senior Director and their Region MS&P team. The ideal candidate will be responsible for creating capacity within the team through effective calendar management, ownership of important business processes and systems, and facilitating communication across functions, Categories and leadership levels.
Detailed Responsibilities:
Calendar Management:
Efficiently manage the Senior Director's calendar, ensuring all appointments, meetings, and events are scheduled and coordinated effectively
Proactively identify and resolve scheduling conflicts, prioritize appointments, and provide timely reminders to the Senior Director
Coordinate and schedule team and key project meetings
Business Process and System Ownership – create, evaluate and improve new and existing processes to enhance efficiency and solve for business needs
Communication and Collaboration:
Build and maintain relationships across functions, Categories and leadership levels to facilitate the success of the Senior Director and her team
Draft and distribute internal communications, including meeting agendas, minutes, and action items, ensuring accurate and timely dissemination of information
Foster strong relationships with team members and stakeholders to promote collaboration, information sharing and culture
Event Planning:
Lead planning and coordination of team events, conferences, and off-site meetings
Manage logistics, including venue selection, catering, travel arrangements, budget and expenses
Ensure all event-related details are clearly communicated and materials are prepared and distributed appropriately
SharePoint Management:
Maintain and update SharePoint sites and repositories, ensuring documents and files are organized, accessible, and up-to-date
Train team members on SharePoint functionality and provide ongoing support for access and troubleshooting
Job Qualifications
High School degree or equivalent required.
Strong core administrative skills, with excellent attention to detail and organizational abilities
Proficiency in Outlook calendar management and scheduling tools
Experience in event planning, including logistics coordination and vendor management
Familiarity with SharePoint or other document management systems
Ability to prioritize tasks and manage multiple assignments simultaneously
Excellent written and verbal communication skills
Strong interpersonal skills, with the ability to build relationships and collaborate effectively across functions, Categories and leadership levels
High level of professionalism, discretion, and confidentiality
