Job Overview Under general supervision from a designated administrator, oversee the daily operations of the Conference & Event Services scheduling office. The Program Manager serves as a central point of contact for clients and plays a critical role in the successful execution of events. Essential Functions Assist with the daily operations of the Conference & Event Services scheduling office and MainStreet Connection Center including Bearcat Card customer support. Accept, schedule, and confirm space reservations with an event scheduling system. Publish events to university calendars. Assist with requests for information and refer to appropriate staff as needed. Serve as primary event liaison to University departments, external entities and community organizations. Serve as lead coordinator on assigned events. Serve as the primary event liaison to event operations staff and key service providers (Catering, Grounds, Public Safety, Fire Prevention, etc). Work collaboratively to ensure all event details are accurate and meet the needs of the client and service providers. Assist with the Event Equipment Rental program. Assist with the coordination of Summer Conferencing Programs, as needed. Hire, train and supervise designated number of student employees. Develop, implement, and ensure compliance with policies and procedures. Provide reports as assigned. Be proficient with the event scheduling system, serve as resource to students and staff, and troubleshoot problems as they occur. Accurately prepare invoices for scheduled events that incur fees or charges for service in event management software. Market the services of the unit to the university. Serve on departmental, divisional, and university-wide event committees. Other duties as assigned. Required Education Bachelor's Degree. Seven (7) years of relevant work experience and/or other specialized training can be used in lieu of education requirement. Additional Qualifications Considered Exceptional organizational and multitasking skills. Strong communication and customer service abilities. Proficiency in 25Live scheduling software. Experience in event planning. Physical Requirements/Work Environment Office environment/no specific unusual physical or environmental demands.
