Financial and Administrative Support Specialist

We are seeking a dedicated Financial and Administrative Support Specialist to join our team and help ensure the smooth operation of our department. Our client, a renowned university in northeast Ohio, is in need of a Financial/Administrative Support Specialist.

  • Pay: $24/hour

  • Hours: 8:30am – 5pm Monday – Friday

The objective of this position is to provide comprehensive financial and administrative support, ensuring the accurate and timely execution of procurement activities, requisitions, and staff appointments for the department. This includes handling bookkeeping duties, managing staff appointment processes, and verifying financial documentation to ensure compliance with organizational and governmental policies. Additionally, this role involves preparing financial statements, expenditure reports, and assisting with various administrative functions to support the smooth operation of the department, including the preparation of hiring requirements and supporting administrative efforts.

  • Essential Functions Ensuring the accurate and timely execution of procurement activities, requisitions, and staff appointments for the department

  • This role includes handling bookkeeping duties, managing staff appointment processes, and verifying financial documentation to ensure compliance with organizational and governmental policies.

  • Additionally, the Specialist will prepare financial statements, expenditure reports, and assist with various administrative functions to support the department's operations.

  • Issue all requisitions, payment requests, and petty cash, managing several million dollars in expenses annually.

  • Perform moderately complex bookkeeping duties related to verification, processing, and updating various documents while adhering to accounting policies and procedures.

  • Post daily transactions to the general ledger and prepare monthly financial statements, expenditure reports, and miscellaneous billing while maintaining an accounting file and requisitions database.

Staff Appointment Management

  • Review and process faculty requests for research staff, postdoctoral fellows, and staff positions.

  • Manage appointments, reappointments, visa renewals, and changes to ensure timely submission of appointment forms and visa applications, maintaining compliance with Homeland Security

Required Skills:

  1. Ability to manage multiple tasks and prioritize responsibilities efficiently.

  2. Strong attention to detail to ensure the accuracy of financial records and documents.

  3. Excellent written and verbal communication skills.

  4. Basic understanding of financial processes, including payments, reports, and budget management.

  5. Proficiency in customer service and issue resolution.

  6. Experience with Microsoft Office Suite (Excel, Word, PowerPoint), financial systems, and database management tools; familiarity with PeopleSoft Financials is preferred.
