Definition

The office of Columbus City Attorney Zach Klein is seeking qualified applicants for the position of fulltime Legal Administrative Assistant in the Domestic Violence and Stalking Unit in our Prosecution Division. This position will primarily serve as the receptionist.

Knowledge of and ability to:

  • Domestic Violence and Stalking issues and concepts;

  • Community referral resources;

  • Basic word processing, scanning and data entry;

  • English grammar, spelling, punctuation, and composition;

  • Effectively maintain good relations during public contacts and stay calm in tense situations;

  • Maintain confidentiality or privileged information;

  • Ability to develop and maintain effective working relationships with others.

Examples of work:

  • Serves as the receptionist for the Domestic Violence and Stalking Unit;

  • Performs a variety of administrative support duties, answer telephone inquiries and direct call appropriately;

  • Assists with electronic case management, subpoenas and other relevant case correspondence;

  • Log and organize evidence on closed cases;

  • Connect witnesses to appropriate prosecutor and advocate;

  • Facilitate and explain civil protection order process for partner agency.

About the Prosecution Division: Located at 375 South High Street in the Franklin County Courthouse complex, the Prosecutor Division is responsible for the prosecution of misdemeanor offenses on behalf of citizens of the City of Columbus and the State of Ohio in the Franklin County Municipal Court. From case initiation in our Prosecution Resources Unit to defense of successful prosecutions in our Appellate Unit, the Division provides a wide array of services attendant to the resolution of criminal allegations and complaints. In addition to the services we provide the citizens of the City of Columbus and the unincorporated areas of Franklin County, this Division also represents, by contractual agreement, a number of Franklin County municipalities. The Division consists of Assistant City Prosecutors, the Legal Assistant Unit, the Prosecution Resources Unit, the Domestic Violence & Stalking Unit, and the Appellate Unit.

Under general supervision, is responsible for assisting the attorneys and staff in the City Attorney’s Office by providing administrative support and performing routine clerical and research activities; performs related duties as required.

Examples of Work

(Any one position may not include all of the duties listed, nor do the examples cover all of the work performed.)

Researches various records and sources, including court and law enforcement computer systems, to obtain relevant information to assist in the development of a case;

Prepares routine legal documents, briefs, ordinances, and pleadings;

Prepares cases for court hearings by ensuring proper documentary evidence is in the file and compiling this evidence such as witness statements, hospital, courthouse, and motor vehicle records, coroner reports, photographs, 911 tapes, and police tapes;

Issues subpoenas for witnesses to appear in court, performs research to assure current address, follows-up on those that are not delivered, and makes appropriate decisions relating to service based on case deadlines;

Constructs daily courtroom dockets and, in conjunction with the Prosecutor, assists in managing the docket by checking individuals in, ensuring everyone appeared that’s required, and answering questions;

Alerts Prosecutor to issues relating to cases, including inability to contact case witnesses and missing paperwork, locates paperwork, and provides to Prosecutor in the courtroom if necessary;

Responds to queries from police officers, witnesses, and attorneys; notifies victims/witnesses when matters are reassigned or rescheduled and provides law enforcement personnel with case status and disposition information;

Performs a variety of administrative support duties such as serves as receptionist, collects and distributes mail and messages, answers telephone inquiries and directs calls appropriately, orders supplies, and files documents.
