Ensures all administrative operations run smoothly and efficiently. Coordinates, plans and directs services which support the running of the department Plans and coordinates the duties of staff in addition to analyzes complex administrative concerns. Develops and implements department processes. Recruits and trains office support staff. Manages staff in the day-to-day performance of their jobs. Ensures projects, department milestones/goals are met and adheres to approved budgets. Purchases and maintains office equipment and supplies. Tracks and analyzes operational costs. Coordinates delivery of office services with other departments. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

DEPARTMENT ADDENDUM

Department Specific Functions

  • Manages daily Anesthesia clinical operations of the Lennar and Doral hospitals to ensure the department goals are met in an efficient manner. Ensure all sites have coverage ORs and offsites like GI, and Cath lab.

  • Manages onboarding process of new faculty and CRNAs as well as the exit clearance process.

  • Coordinates projects and develops and oversees policies regarding supplies, storage, surplus items.

  • Responsible for space management certification process and managing internal moves and space reassignments.

  • Responsible for emergency and hurricane preparedness protocols for the Lennar & Doral site.

  • Manages the monthly call schedules for faculty regarding call assignments for first call, beeper back up, and advise Division Chief of any issues.

  • Assist in the coordination of the CRNAs biweekly approval timecards.

  • Coordinate CRNAs schedule for OR coverage (approximately 25 CRNAs).

  • Create and manage internal and external shared drives for the Anesthesia Doral division.

  • Assists in the credentialing and re-credentialing process for faculty and CRNAs.

  • Coordinates the assembly of faculty meeting and takes weekly minutes.

  • Updates Faculty policies and protocols.

  • Updates Faculty CVs and prepares lectures and recommendation letters.

  • Assists & collects required documents for departmental compliances from faculty & CRNAs (Flu vaccine and mandatory modules).

  • Process monthly overtime compensation and call payment for Lennar & Doral on monthly basis.

  • Process reimbursements, POs and order all necessary computer equipment for faculty.

  • Run staffing and utilization reports as needed.

  • Cross coverage with JW or JS managers to ensure administrative coverage.
