Position Summary:

The Faculty Council is the executive body of the Faculty Senate. Faculty Council initiates recommendations to the President or appropriate administrative officials, and for submission to the Board of Regents, on matters within the jurisdiction of the Council that are related to educational policy, and the internal and external operation of the University.

This position supports the work of the University of Colorado Faculty Council in shared governance by managing the daily operations of the Faculty Senate and Faculty Council and assisting its committees, officers, and members.

The position is responsible for coordinating the recording of Faculty Council meetings and meetings of committees and is responsible for preparing minutes for each meeting, circulating them for approval, and posting them on the Faculty Council website.Responsibility for this can be delegated as deemed appropriate by the administrator in consultation with the Faculty Council Chair. Main duties of the position also include program management, event coordination, communication, research and information tracking. The independent nature of this position requires the ability to establish priorities and take initiative with limited supervision. The Faculty Council Chair typically holds responsibilities at their home campus and is not able to provide constant supervision. It is the incumbent's responsibility to set their own priorities and deadlines with Faculty Council's schedule in mind.

At times, The Faculty Council Administrator may supervise student employees who assist with office operations, meeting and event coordination, and/or serve as the recording secretary for FC and its committees.

This position reports to Vice President for Academic Affairs but is accountable to the Faculty Council Chair who provides supervision, general direction, and advice.This position is exempt from the State of Colorado Classified Staff System.

Duties & Responsibilities:

Administrative Coordination

  • Moderate communication streams for the Faculty Council and its committees.

  • Update web content and upload approved minutes, agendas, resolutions and other relevant information.

  • Maintain the official repository for Faculty Council documents including minutes, resolutions, shared governance participation, committee rosters and historical participation.

  • Create and maintain electronic databases, as necessary.

  • Manage leadership transitions and apprisenew Chairs of policies, procedures, and daily operations.

  • In coordination with the Faculty Council Secretary, participate in the recruitment and retention of Faculty Council and committee members.

  • Maintain an accurate record of membership and communicate the structure, roles and value of shared governance when requested.

  • Provide timely communication of Faculty Council decisions, resolutions, and policy recommendations to the appropriate staff members within the Board of Regents Office, Office of the President, and campus staff at the Chair's discretion.

  • Direct inquiries from various individuals and constituencies to appropriate Faculty Council officer or member.

  • In consultation with the Chair, plan, organize and coordinate the annual award process for Faculty Council awards.

  • Provide guidance and eliminate inefficiencies, as necessary.

  • Collaborate with the Secretary of the Faculty Council in conducting annual or special elections.

  • Manage the faculty council budget, including expenditures for general office operations and faculty council events.

  • Process stipends for committee chairs.

  • Coordinate travel reservations and process reimbursements, as necessary.

  • Hire, train and supervise student employees and/or temporary staff.

  • Coordinate with System staff, especially those in the Office of Academic Affairs

  • Meet twice a month with the VP for Academic Affairs to coordinate activities, review budget, and problem solve

  • Attend the twice a month meetings of the Office of Academic Affairs staff

Meeting Coordination and Event Planning

  • Schedule meetings, coordinate logistics and in collaboration with committee chairs, set Faculty Council agendas, take and circulate minutes for approval.

  • Hire and support a student worker to assist with recording secretary functions for Faculty Council and committee meetings.

  • Coordinate the recording secretary function for all Faculty Council and committee meetings.

  • Communicate and coordinate with guests and schedule appearances at Faculty Council meetings based on needs and scheduling demands. Guests may include the President, Vice Presidents, Regents and elected officials.

  • Coordinate with appropriate staff, as needed, to ensure guest attendance.

  • Serve as the lead event logistics manager for the Faculty Council-sponsored symposia and annual retreat. Support committee chairs and committee members and appropriate system and campus staff in event activities including marketing and communication, budgeting, vendor management and contract negotiation, venue management, onsite production and post event activities including report writing.

  • Led by committee chairs, manage the request for proposals, award nominations and speaker selection.

  • Led by committee chairs, support volunteer efforts at events including, recruiting and coordinating volunteers and maintaining a current database of volunteers, arrange required training, monitor activities and update committee chairs on volunteer activity.

  • Maintain a current database of attendees and led by the committee chairs execute formal communications for pre and post event activities, which includes a save the date card, posters and press releases among others.

  • Led by committee chairs, administer event assessment and other data gathering strategies and support the committee chairs in evaluation and use of the data collected.

  • As lead event logistics manager and based on committee chair approved budgets, monitor expenses, process payments and periodically update committee chairs on progress.

Policy Research and Coordination

  • Research and provide information on policy questions from chairs of the Faculty Council and its committees as needed. Note that this is general information and the position is not designed for, nor does it need, a policy expert.

  • Distribute deadlines from System offices for policies being reviewed by shared governance and communicate deadlines to campus staff and other stakeholders as appropriate.

  • Track and route review progress for Administrative Policy Statements and Regent Policies through faculty shared governance and update campus assembly chairs as necessary.

  • Support the work of Faculty Council committees in the policy review process, including providing feedback from committees to the administration as appropriate.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree from an accredited institution of higher education, or equivalent professional experience (professional experience may be substituted for the educational requirement on a year-for-year basis)

  • Three (3) years of equivalent experience related to general administrative operations, managing budget and procurement processes,, event coordination, and/or faculty shared governance.

Preferred Qualifications:

  • Five (5) years of equivalent experience related to general administrative operations, managing budget and procurement processes,, event coordination, and/or faculty shared governance.

  • Experience arranging multi-campus events, meetings and retreats.

  • Experience working in a non-partisan environment.

  • General understanding of the University of Colorado, including its organizational structure.

  • Familiarity with University of Colorado systems and procedures.

Knowledge, Skills, and Abilities:

  • Ability to understand and work within a complex institution under the general principles of faculty shared governance.

  • Ability to establish and maintain effective working relationships with faculty at all levels, system and campus administration, and the Board of Regents.

  • Experience using Microsoft Office, Word, Excel, PowerPoint, Outlook, and SharePoint.

  • Outstanding written and verbal communication skills.

  • Excellent organizational skills and the ability to multi-task.

  • Ability to exercise tact and diplomacy in a variety of situations and manage sensitive or confidential information.
