Description of Job

WHAT YOU WILL DO

This position serves in the executive office of the Department of Law by providing executive level support to the Chief Deputy Attorney General and the Associate Chief Deputy Attorney General . This includes serving as the initial point of contact regarding department-wide questions that arise, managing multiple complex calendars, organizing and tracking a large volume of information, and proactively managing the support needs of multiple executives . The Executive Assistant also supervis es the Department of Law’s OAG Assistant, performing office management activities for the OAG, and manages the OAG’s budget.

Duties include, but are not limited to, the following:

  • Managing the administrative operations of the OAG by creating, reviewing, and implementing office operation procedures and functions.

  • Overseeing multiple complex calendars, organizing and tracking high volumes of information, and proactively handling the administrative and logistical needs of leadership.

  • Writing, reviewing, and editing correspondence and key documents to ensure accuracy, clarity, and consistency.

  • Managing processes to ensure internal communications are timely , consistent, and reviewed by all stakeholders.

  • Developing office procedures, updating desk manuals and training materials, and overseeing business operations.

  • Determines and manages the Unit’s internal financial oversight processes.

  • Maintains records and budget accountability for the OAG by overseeing the OAG’s operational budget by tracking and reconciling expenses.

  • Oversees project planning and facilitation of meetings.

  • Trains, oversees, and serves as a backup to the OAG Assistant for travel coordination, to facilitate office events, and provide support to the Legal Talent Director.

  • Utilizes various software, including Microsoft Office Word, Excel, Access, Outlook, and PowerPoint to organize and track information and create documents for any special projects or presentations as needed.

    Salary note : Although a salary range is listed, salary will be set commensurate with the successful candidate's qualifications and in compliance with the Equal Pay for Equal Work Act.

Minimum Qualifications and Substitutions:

Experience Only:

Five (5) years of full-time professional experience providing high-level administrative support and office management as an executive assistant, which MUST have included three (3) years of experience providing executive/senior level support ideally for attorneys, appointed officials, or equivalent.

OR

Education and Experience:

A combination of related education and/or relevant professional experience providing high-level administrative support and office management as an executive assistant equal to five (5) years, which MUST have included three (3) years of experience providing executive/senior level support ideally for attorneys, appointed officials, or equivalent.

If qualifying under the substitution, you will be required to provide a copy of your transcripts.

Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.

Preferred Qualifications: In addition to the minimum qualifications, if you possess any of the following specifically include the details on your application, as this information will be used to assess your qualifications and may be used to determine a top group of applicants.

  • Experience providing administrative or office management support in a public service organization or government agency

  • Experience managing a budget, including maintaining records, tracking budget, and reconciling expenses

  • Experience working in a legal setting ( e.g. legal office, court, etc.)

  • Experience creating, reviewing, and implementing office operation procedures to optimize workflow and streamline processes

  • Excellent interpersonal skills and ability to communicate effectively with a variety of stakeholders
