Description of Job

Work Environment:

This position is Full-time, is Hybrid (Remote/Home Office w/requirement to report to Work location per business needs).

  • Office hours are typically Mon-Fri, 8 am-5 pm

  • Extended hours during the evening or the weekend may be required by business needs

Position Summary:

The Talent Acquisition Coordinator for CDE is the technical support in functional areas of recruitment, onboarding, and records management. This role is critical in ensuring a positive candidate experience for our organization and welcome new staff with an efficient and organized recruiting and onboarding experience.

Utilizing NeoGov as our applicant tracking system, the coordinator will ensure postings and recruitments are organized and efficient.

This person will also keep up to date databases and spreadsheets and employee folders. They will use a high level of time management skills to prioritize recruiting, onboarding, and records management activities. They will also look to improve any processes that can be streamlined. Working with the Manager of Talent Acquisition and collaboratively with the HR Team, the Coordinator will ultimately have a chance to undergo true change management at CDE as we implement a new HRIS system.

DUTIES:

Brief Duty Description:

  • Monitors the main Recruitment email inbox and in collaboration with HR Coordinator, PAF email inboxes as needed. This includes, but not limited to, taking necessary actions to complete required tasks associated with each email box in a timely manner and ensuring timely delegation of email to the appropriate HR staff as necessary (based on topic).

  • Assigns and manages position numbers

  • Processes and assists in Recruitment activities such as data entry in applicable systems such as NeoGov and Smartsheet.

  • Route and Track Requisitions in NeoGov

  • Enters all requisition information in applicable Smartsheet

  • Processes reviewed job postings and posts with approval from Talent Acquisition Manager (TAM)

  • Schedules screening and kickoff meetings when needed

  • Conducts routine audits of personnel information in the applicable HR/Payroll systems.

  • Creates, monitors, updates, and audits electronic personnel records.

  • Provides back-up support to monitor and respond/delegate emails in the HR Inbox.

  • Develops a rapport with internal customers and focuses on quality and timely customer service.

  • Ensures that principles of confidentiality are adhered to in every aspect of their work.

  • Assist in all PAF emails and actions, including, but not limited to, ensuring the accuracy of the information, logging on the applicable Smartsheet, routing for approvals, and processing in the applicable HR/Payroll systems within the established timelines/deadlines.

Onboarding:

  • In collaboration with the Talent Acquisition Manager updates applicable Smartsheet’s related to hiring and onboarding, including ensuring the smooth transition from recruitment to hire to onboarding.

  • In collaboration with TAM, drafts and sends offer letters for all new hires and promotions.

  • Sends, collects and verifies all new hire documents.

  • Conducts all background checks.

  • Responsible for all new hire notifications to IMS (Help Desk) and Payroll.

  • Collaborates with HR Coordinator in processing new employees into the various systems, including Payroll (CPPS) Moodle, Employee Portal, and badge requests.

Offboarding Assistance:

  • In collaboration with HR Coordinator, sends separation guidance to employees who submit notice of retirement or resignation and logs separation information on Employment Separation Smartsheet as needed.

  • Send separation notifications to IMS (Help Desk) and Payroll.

  • Collaborates with HR Coordinator to assist in stop dating and terminating separated employees into the various onboarding and HR/Payroll systems.

Other:

  • Assists with projects and jumps in to provide support in areas of the team that need additional support.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

MINIMUMEXPERIENCE REQUIREMENTS:

  • 2 years experience in Human Resources or Talent Acquisition or Office Management with knowledge of administration, onboarding and recruitment functions

Preferred EXPERIENCE:

  • 3+ years of Microsoft Office (Word, Excel, PowerPoint)

  • 1+ years of experience with NEOGOV ATS

  • 3+ years of work experience in Human Resources with knowledge of administration, onboarding and recruitment functions

QUALIFICATIONS, KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:

  • Must be able to multitask and prioritize in a busy office environment

  • Excellent written and oral communication skills

  • Must be proficient with Microsoft office products (Excel/Word)

  • Strong organizational and time-management abilities

  • Must be able to perform work independently as well as collaborate with the team

  • Extreme attention to detail required, including the ability to audit and identify and correct errors

  • Excellent customer service skills

  • Must express a positive attitude and be able to diffuse difficult situations

  • Ability to handle confidential information with professionalism
