WHAT WE CAN ACHIEVE TOGETHER
The Executive Assistant provides direct administrative support to the Associate Chief Development Officer and Campaign Director, supports and serves as an active member of one divisional leadership group and may provide support to other division leaders as needed. They provide support for division events and retreats as well as committee work in partnership with the Executive Coordinator, Associate Director of Strategy & Project Management, and Associate Director, Internal Communications. They provide support to the Chief Development Officer in the absence of the Executive Coordinator. They provide back-up support for the division toll-free line.
The Executive Assistant is responsible for a variety of administrative support tasks, which may include domestic and international travel arrangements, calendar management for individuals and groups, drafting correspondence and contracts with external consulting firms, processing expenses and invoices, and scheduling and coordinating logistics of meetings, all staff town halls, retreats, and special events. They act as an active member of, as well as provide logistics support, to the Development Management Council, Associate Chief Development Officer and Campaign Director's team. They use available systems and resources to maintain, track and research data, and produce and review reports. They implement processes and practices to improve effectiveness. The Assistant coordinates activities with multiple variables, setting realistic deadlines and managing the timeline. They apply established processes and practices to improve effectiveness and satisfy administrative requirements based on knowledge of policies and procedures. The Assistant communicates on behalf of the Associate Chief Development Officer and Campaign Director with staff in various programs across the Conservancy, as well as with donors, vendors, and business relations. They work closely with other staff, distributing information, sharing knowledge, and providing insights to assist staff in making decisions, solving problems, and improving workflow. They perform additional administra
