Description
Under the general supervision of the Assistant Parks & Recreation Director, with broad oversight from the Parks & Recreation Director, plans, organizes, coordinates, and supervises community sports programs and vertical alignment initiatives to meet community athletic program expectations. All activities and areas of responsibility must be managed with a high level of coordination and communication with East Grand Rapids Public Schools coaches and community organizations to ensure promotion of programming growth, safety, and participant satisfaction and retention along with ensuring program structure is designed to help participants meet the performance standards of EGRPS Varsity coaches. The schedule for this position is Monday - Friday, 8am - 5pm with some required nights, weekend and holiday hours to support programs and community special events.
Essential Job Functions
Develops and refines youth sports handbook and coach’s handbook using vertical alignment success as the guiding principle.
Responsible for volunteer and paid coaches recruiting, training, evaluation and retention efforts.
Coordination of seasonal player evaluation process for sports programs for select ages.
Communicate with EGRPS Varsity coaches to integrate High School Athletic performance standards into youth sports programming practice plans.
Coordinate value added involvement opportunities (youth nights at HS games, HS athlete mentor opportunities, Varsity Coach visits with youth programs, drop-in practice opportunities, etc.) with EGRPS staff.
Investigate new participation opportunities for East Grand Rapids Parks and Recreation sports teams in local leagues and/or tournaments.
Conduct ongoing assessment and evaluation of all sports programming and recommend program changes and/or enhancements as needed.
Engages with citizens, community groups, school officials, and other community stakeholders to promote interest in and enhance the services and programs within the community.
Plans, organizes, coordinates and supervises recreation programs and activities which may include sports leagues and tournaments, interscholastic athletic programs, recreation and special interest classes, sports camps, special events, and other related programming.
Attends programs and events, provides oversight and coordination, and ensures proper staffing. Administers league sports as assigned.
Prepares staff and officials schedules, as well as schedules for programs, camps, and other activities.
Coordinates the reservation of facilities, parks, pool areas, and other locations, and works with maintenance staff and other departments to ensure proper preparation and maintenance of program locations.
Participates in the preparation of program materials, brochures, publications, and other marketing materials. Maintains and updates assigned website content, social media sites, and participates in other related marketing efforts.
Seeks donations and sponsorships from area businesses and other patrons for community events and programs, and recruits volunteers to assist in community events and recreation programs. Coordinates any related recognition programs and activities.
Responds to resident and customer inquiries and assists the public with a broad range of department issues and needs. Investigates complaints, resolves issues independently, and coordinates more complex issues with the department director or assistant director.
Participates in seeking feedback on community interests of a variety of parks and recreation activities. Surveys groups for interest, evaluates program effectiveness, and makes recommendations for future recreation programming.
Participates in the recruitment, selection, training and management of various part-time recreation staff, special interest instructors, seasonal employees, and volunteers as assigned.
Maintains inventory of materials, equipment, and supply needs for assigned activities. Places orders according to established purchasing procedures, completes forms, codes invoices, and monitors budgets and expenditures.
Compiles operational statistics and completes a variety of reports required by the City, State and other funding agencies. Coordinates and participates in the maintenance of related records, creates program reports, and submits payroll for assigned staff.
Keeps abreast of modern developments and evolving issues in public services through continued education and professional growth. Attends conferences, workshops, and seminars as appropriate.
Performs other related duties as assigned.
Knowledge, Skills, and Abilities
A bachelor's degree in recreation or related field with at least one year of experience in recreation programming, special events planning, or related field is preferred, or four years of relevant full-time experience.
First Aid, CPR, AED, and Concussion training and certification is preferred.
If assigned to aquatics, certification as a Pool Operator, Lifeguard Instructor, and Lifeguard CPR is also required.
Knowledge of the principles and practices of public parks and recreational programming, facilities management, marketing, and budgeting.
Knowledge of the rules, procedures, equipment, facilities, safety issues and precautions relating to recreation programs.
Knowledge of the City Charter, local ordinances, State and Federal laws, and regulations pertaining to municipal parks and recreation operations.
Skill in the use of office equipment and technology, including computers, specialized department programs, and other related software, and the ability to master new technologies.
Skill in organizing, scheduling, coordinating and evaluating multiple programs and staff, and maintaining related records.
Skill in planning, organizing, and coordinating a comprehensive parks and recreation program.
Ability to communicate effectively and present ideas and concepts orally and in writing and make presentations in the public forum.
Ability to prepare accurate and professional documents, records, reports and correspondence.
Ability to establish effective working relationships and use good judgment, initiative and resourcefulness when dealing with employees, City officials, professional contacts, community leaders, the media, and the public.
Ability to multi-task, problem-solve, and work effectively under stress, within deadlines and changes in work priorities.
Ability to attend programs, meetings, and events outside of normal business hours.
