Job Description

The Office of Scholarships and Financial Aid (OSFA), within the division of Enrollment Management (EM), seeks an experienced, collaborative leader to serve as the Assistant Director of Operations and Compliance. The Assistant Director works closely with the Director of Operations and Compliance to lead the Personalized Learning and Processing teams. This position assists in the oversight of multiple functions within the office, which includes, but is not limited to: Compliance, maintaining the Policy and Procedure manual, Return of Title IV, reconciliation of Pell Grant and Direct Loan programs, Document Imaging, Loans, Pell, Verification, ISIR processing, and Personalized Learning.

The Assistant Director of Operations and Compliance works closely with the Assistant Directors of Scholarships and Client Services to maintain consistency of service to students, equitable working conditions for staff, and aligned policies and procedures to ensure department compliance at all times. The Assistant Director serves on OSFA and EM leadership teams and maintains strong, positive relationships with division and campus partners for recruitment and retention efforts and demonstrates a full understanding and active participation in fulfilling the mission of the organization. Campus partners include, but are not limited to: University Admissions, Office of the Registrar, Student and Departmental Account Services, Student Affairs, academic departments, Center for International Education, and Disability Resources

This position is located on the Flagstaff Mountain campus.

Department Leadership - 25%

  • Serve on the OSFA Management Team.Actively participate in discussions related to staff issues, strategic planning, and goal setting.Provide updates on unit\'s successes and opportunities for improvements.
  • Works collaboratively with OSFA Client Services and other departments campus-wide, including but not limited to Student Service Contact Center, Office of the Registrar, Student Account Department Services, EM departments, and Institutional Research and Analysis.
  • Establishes regular trainings for OSFA staff and campus partners.

Unit Management - 20%

  • Oversees processing of Federal Direct Loans, Federal Pell Grant, return of Title IV, verification, ISIRs, and private loans.
  • Utilizes several internal and external databases, including PeopleSoft, OnBase, Salesforce, COD, NSLDS, etc., to ensure student eligibility for aid including, but not limited to, over awards, Pell Lifetime Eligibility, and loan issues.
  • Assists in processing Return of Title IV withdrawal calculations.
  • Assists in testing updates and fixes, system upgrades, and other data processing as needed.
  • In conjunction with Processing and PL Managers, organizes the flow of operational processes.Ensures areas are timely in both data and communications flow and in all processing functions.
  • Consults with Business Analysts regarding system modifications, processes, and issues
  • Handles daily compliance questions from department staff and campus partners. Provides guidance on policy and procedure decisions within unit.
  • Researches federal regulations and exhausts all resources available in resolving issues.
  • Prepares new or modified policies for Director review. Identifies areas of non-compliance, researches solutions, and presents to Director with recommended course(s) of action.
  • Assists Director with quarterly audits on high-risk areas.
  • Develops and implements extensive training for the Processing and Personalized Learning teams on areas of responsibility.

Personnel Management - 20%

  • Assists the Director with day-to-day management of the Processing and Personalized Learning (PL) teams.
  • Provide leadership, direction, supervision, training, and evaluation for processing and personalized learning team.
  • Directly supervise two Managers and indirectly supervise five staff members.
  • Provide input for performance and rewards decisions; have influence over employment decisions; allocate resources across functional areas; approve resource use decisions.
