The Senior Administrative Coordinator I w orks under direction and coordinates administrative support for t he Texas A&M Agriculture, Food, and Nutrition Evidence Center to include the exercise of discretion and independent judgement with respect to matters of significance .

Texas A&M Agriculture, Food, and Nutrition Evidence Center (Evidence Center) is a newly created center with the mission to be an authoritative source of objective information and analysis on the Agri-Food system ’s effects on health, the environment, and the economy.

The Evidence Center conducts and publishes state-of-the-art research synthesis studies of different types (e.g., systematic reviews, met a- analyses) important for understanding the impact of agriculture, food, and nutrition policies on human, environmental, and economic health and sustainability. The Evidence Center drives the next generation of research synthesis methodologies that are rigorous and transparent and acts as a leading convener in gaining global consensus on standards of evidence, as well as promotes and strengthens public trust in science-informed policies and solutions.

What We Want:

T he Texas A&M Agriculture, Food, and Nutrition Evidence Center seeks a Senior Administrative Coordinator I who will provide staff support an d coordination of a variety of administrative activities requiring independent judgment, including relaying information on behalf of the Evidence Center Director and planning, directing, monitoring and evaluating office operations on behalf of the Evidence Center.

Essential Duties/Task s

The Senior Administrative Coordinator I w orks under direction and coordinates administrative support for t he Texas A&M Agriculture, Food, and Nutrition Evidence Center to include the exercise of discretion and independent judgement with respect to matters of significance .

  • Represents the Evidence Center with professionalism; interacts with guests and stakeholders, providing customer service and addressing needs in a timely manner .

  • Coordinates travel arrangements for the Evidence Center leadership and st aff and provides documentation to relevant business and administrative staff.

  • Coordinates administrative support functions including calendar management; pro-actively monitors Evidence Center leadership’s calendar for completion and accuracy.

  • Assists with capital equipment purchases and inventories for capital equipment, IT equipment, software, etc.

  • Assists in the processing of business tasks , such as purchasing , reimbursements, travel reports, etc.

  • D rafts and manages correspondence and communications for Evidence Center and its Director.

  • Compiles reports, maintains records and other documents. Evaluates documents submitted for Director’s signature.

  • Provides support for long-range planning and scheduling activities.

  • Makes recommendations for process improvements, administrative changes, or new initiatives to the Director of the Evidence Center.

  • Communicates agency objectives , tasks, and decisions to Evidence Center staff on behalf of the Director. Researches and handles special projects.

  • Coordinates and leads administrative support for Evidence Center functions, including planning, directing, monitoring and evaluating office operations under the direction of the Evidence Center Director. This includes coordination of external advisory board meetings.

  • Assists Evidence Center Director & business staff in planning for long and short - term Evidence Center business expenses.

  • Serves as liaison and point of contact for the Director.

  • Conducts research for and briefs the Director prior to meetings and events.

  • Oversees the preparation of reports, manuals, and publications. Coordinates and monitors action items for the Director. Works collaboratively with the Evidence Center.

  • Serves as Office Manager for the Evidence Center, for example, ensuring staff have requisite resources, conveying weather alerts and work from home notifications, reserving rooms, sharing relevant logistical information, acting as Evidence Center point of contact with TAMUS Fort Worth and Burnett building for general office needs.

  • Under direction of the Evidence Center Director and in coordination with the business team, maintains records and monitors expenditures related to office management.

  • Plans and coordinates administrative activities and services including scheduling meetings, developing itineraries, reviewing agendas, record-keeping, and report preparation.

  • Manages Evidence Center LinkedIn account and website.

  • Attends AgriLife Business Matters Meetings and other relevant AgriLife meetings.

  • May supervise student workers .

  • Performs o ther duties as assigned.

    Qualifications

    Required Education and Experience :

  • Bachelor ’s degree or equivalent combination of education and experience.

  • Six years of related experience.

    Preferred Experience:

  • Experience working in university system administration .

    Required Special Knowledge, Skills, and Abilities:

  • Strong written and verbal communications skills, and excellent interpersonal abilities.

  • Excellent organizational skills, detail-oriented, and ability to manage multiple priorities simultaneously.

  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

  • Proficiency with Microsoft Office including Teams, Excel, Word, PowerPoint, etc .

  • Ability to multi-task and work cooperatively with others.

    Salary: Compensation for this position is commensurate based on the selected candidate ’ s qualifications.

    Flexible Work Arrangements: Flexible work schedule and remote work may be available for this position, pending employee eligibility requirements are met in accordance with AgriLife Alternate Work Location Procedures.
