Duties Description The Department of Communication at SUNY Fredonia seeks a highly motivated, organized, and personable individual to join our team as a Department Secretary. This dynamic role provides essential administrative and clerical support to the department faculty, staff, and students. The ideal candidate will be proactive, detail-oriented, and skilled in multitasking, with the ability to manage both routine administrative duties and special projects. Strong communication and organizational skills are key to success in this role, alongside the ability to work collaboratively and maintain confidentiality when handling sensitive information.RESPONSIBILITIES:-Provide general administrative support to faculty, staff, and students within the Department of Communication.-Effectively communicate with a diverse group of individuals both orally and in writing.-Create, compose, and edit written materials such as reports, correspondence, and meeting minutes.-Maintain departmental records, ensuring confidentiality and adherence to privacy policies.-Handle telephone inquiries professionally and courteously, maintaining a sympathetic but firm manner.-Assist with scheduling meetings, events, and appointments, ensuring efficient time management.-Coordinate and prioritize administrative tasks in a fast-paced environment, meeting deadlines and managing competing demands.-Ability to work under pressure and to deadlines. Manage and organize departmental documentation, including filing and updating records.-Demonstrate a commitment to presenting SUNY Fredonia in a positive light both internally and externally.-Collaborate with faculty, staff, and students to ensure smooth workflow and operations within the department.-Provide additional administrative support as needed and provide flexibility-Be aware of, understand, and follow all university policies.

Minimum Qualifications Non-competitive (NY HELPS):High school diploma or high school equivalency diplomaTwo years of experience in administrative supportUse of office software (e.g., email, word processing)ORReassignment Requirement: You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.Reinstatement Requirement: You must be a former state employee to request reinstatement to the title that was held (or transferable title).Administrative Assistant Trainee 1 Transfer Eligibility -----------Requirement: You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).Administrative Assistant Trainee 2 Transfer Eligibility Requirement: You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.Administrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.All applicants must meet at least one of the above requirements.
