Job Description
General Purpose
Perform routine daily administrative logistics and coordination activities in support of a logistics, transportation, and/or distribution team. Gather operational data, generate standard reports, perform entry into databases or systems, maintain records, and assist with requests. Take calls from customers, haulers, drivers, internal business areas, etc., and answer questions, coordinate resolution of issues, etc. Work collaboratively with all departments to meet customer requests.
Job Duties and Responsibilities
Perform standard or routine tasks, including high-level administrative tasks, customer service, purchasing, reporting, and supporting daily operational activities
Provide support in tracking and maintaining vehicle records by working with supervisors (e.g., overweight permits, fuel cards, vehicle registrations, inspections)
Provide support to fleet maintenance to receive, inspect, and inventory incoming parts as well as maintain accurate spare parts inventory for the shops
Review order forms for proper coding, quantities requested, and authorized approvals
Process orders, prepare packing lists, package outgoing materials, take care of shipping logistics, and ensure the accuracy and timeliness of incoming and outgoing orders. Track shipment details, locations, and estimated time of arrivals
Prepare purchase orders. Order shipping materials and supplies, track and maintain supply inventory, and process reports addressing inventory levels and needs
Verify accuracy of incoming and outgoing shipments and orders
Update information on the system or in files to maintain records
Produce standard reports
Assist with miscellaneous intercompany and vendor billing; troubleshoot and resolve basic issues; and complete, verify, review, and reconcile paperwork and documentation

Requirements
Education and Experience
High school diploma or equivalent
Some office experience in a logistics, transportation, warehouse, or distribution environment preferred
Certification and/or License – may be required during course of employment
Knowledge, Skills, and Abilities
Knowledge of and skill with Microsoft Office Suite and company computer systems
Able to work with accuracy and detail oriented
Able to communicate clearly and effectively, both verbally and in writing
Able to interact positively and work effectively with others (interpersonal skills)
Able to follow directions and meet deadlines
Able to organize own work activities
Must be able to read, write and speak English
