Job Purpose: Provide high-level administrative and clerical support to the Safety Department and company employees by coordinating and tracking safety-related compliance training, and by preparing, maintaining and distributing internal reports as necessary

Roles, Duties, & Responsibilities:

  • Communicates with supervisors and the Safety Department to identify safety compliance training needs and coordinates internal and external training.

  • Researches regulatory training courses (Dust Control, Asbestos, ATSSA, First-Aid/CPR & AED, etc.) and schedules training for employees.

  • Enters required safety training for employees in Spectrum database.

  • Informs, directs and guides employees on upcoming training classes and ensures clear communication on procedures.

  • Prepares attendance rosters and pertinent training documentation and ensures classroom and training supplies are at hand.

  • Sets up classroom training facility accordingly and organizes water/snacks/lunch as needed.

  • Coordinates and submits medical questionnaires and arranges for respiratory fit testing and training.

  • Directs employees to designated clinics for Hep Shots and maintains records.

  • Assigns online training for employees (Succeed Platform) as necessary.

  • Follows-up to confirm training attendance and obtains substantiating documentation.

  • Enters and scans training completion and/or certifications substantiating compliance with governmental entities and maintains employee training records.

  • Prepares and distributes monthly training expirations reports.

  • Coordinates and schedules subcontractor safety pre-construction meetings as necessary.

  • Updates and maintains Outlook Safety Training Calendar / schedule regularly.

  • Updates, track and maintains safety meeting attendance and distributes monthly report.

  • Assigns, tracks and maintains Air Monitor Inventory.

  • Gathers information for upcoming construction projects and assists in the preparation and assembly of Site-Specific Safety Plan (SSSP) binders.

  • Compiles Safety Data Sheet (SDS) binders for each project.

  • Makes necessary updates to the Safety Data Sheet (SDS) on-line system to maintain correctness.

  • Prints GHS Secondary Container labels as necessary.

  • Updates, maintains and distributes Active Job List (boots on the ground).

  • Collects, reviews and enters Subcontractor Prequalification data in Excel and Building Connected Database to generate safety scores for the subcontractor qualification process.

  • Gathers and prepares regulated safety-related information for the Estimating Department for submittals (EMOD, OSHA statistics, safety violations, etc.).

  • Prepares and submits MSHA 7000-2 Quarterly Reporting.

  • Prepares AZ State Mine Inspector Quarterly Labor Report.

  • Assists with record auditing and preparation of annual OSHA Logs.

  • Assists with taking incident/accident information (Employee Injuries and Near Misses, Auto Accidents, Thefts and Vandalism, Subcontractor Incidents, and Equipment, Utility and Property Damages) and entering data in QuickBase Database.

  • Assists with gathering of incident/accident documentation; pictures, witness statements, disciplinary action forms, etc., to determine proper course of action on the event.

  • Tracks and maintains traffic violations and regulatory inspections.

  • Creates Standard Operating Procedures (SOP).

  • Creates interactive PDF fillable forms.

  • Maintains and orders department supplies and stationary.

  • Supports all Safety Department members and performs other incidental and related duties as required and assigned.

  • Participates in departmental meetings and sets weekly and monthly goals to augment efficiencies in the Safety Department while supporting the Corporate goals.

  • Excellent communication and interpersonal skills.

  • Exceptional organizational skills with high attention to detail.

  • Ability to shift tasks and prioritize to meet required and changing deadlines.

  • Requires excellent follow-up follow-through to close the loop on training and scheduled events.

  • Must be a team-player as well as self-directed in order to accomplish tasks with limited supervision.

  • Must understand the importance of maintaining confidentiality of sensitive employee and company information.

  • Proficient computer skills (Outlook, Word, Excel, PowerPoint, Adobe, OneNote)

  • Holds a clean DMV and can drive for company business.

  • Bi-lingual Spanish Speaking/Reading/Writing a plus

  • Adheres to all Hunter Contracting Co. safety policies, procedures, and instructions from Management.

    Education & Work Experience Guidelines;

  • High school diploma or equivalent required

  • Ability to interact with all levels of personnel

  • 2+ years’ experience in a business atmosphere; OR,

  • Equivalent combination of education and experience.
