ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration and project management support for real-time, mission-critical defense systems.We are seeking Senior Project Support Specialist / Project Support Manager to provide exert level support a NASA contract in Greenbelt, MD.

Responsibilities:

Administrative Project Support

  • Provide expert-level support and leadership in the areas of travel, cost analysis, training, purchase requests, office management, and calendar management.

  • Lead a team of Project Support Specialists, acting as a Subject Matter Expert in multiple areas.

  • Responsible for deciding how to approach tasks, develop a plan, and communicate with a team to accomplish them.

  • Responsible for distributing information to team members, stakeholders, and leadership quickly and efficiently.

  • Develop, train team members on, and execute strategies for goal setting, task delegation, and management of office policies and procedures.

  • Prepare agendas, coordinate, and attend meetings as requested, take meeting notes and actions, and transcribe / summarize notes from meetings.

  • Manage shared calendars for Directors, Executives, Management, and team members.

  • Establish logs and milestone charts for business functions (e.g., action items)

  • Analyze workforce data for reports including gathering data from database reports, performing variance analysis, and writing data for presentation format.

  • Responsible for answering office phones and greeting visitors daily.

  • Coordinate, plan, and execute office moves to include phone moves, IT coordination, list updates, key requests, door sign requests, and excess requests.

  • Maintain office supply inventories.

  • Coordinate and prepare shipping documents including packages for shipping with express mail purposes.

  • Maintain and update office electronic files and correspondent records.

  • Prepare and route official NASA correspondence documents as per NASA standards and directives.

  • Provide technical writing and editing support.

  • Write/edit administrative communications; Compose professional communications/documents and respond to general correspondence. Act as final check point for all administrative communications that go outside of the directorate to ensure all correspondence meets standard requirements.

  • Prepare travel; prepare itineraries, process receipts and expenses for vouchers, and maintain travel records.

  • Maintain directorate level websites; make routine updates to organizational charts, contact lists, and general content.

  • Work with the Administrative Office to develop and maintain Standard Operating Procedures for general administrative tasks within the directorate.

  • Enroll foreign nationals for badge processing.

  • Provide onboarding support for new directorate staff and assist the retirement transition process for departing staff.

  • Individual will proactively interface with all levels of management and other program team members to ensure the office has all levels of administrative support covered.

Requirements:

  • Experience as a team lead or supervisor setting goals, overseeing tasks, and reporting to stakeholders and leadership.

  • Ability to quickly take action to changing environments and communicate a clear direction to employees and customers with urgency.

  • A strong ability to make sound decisions quickly utilizing analysis, experience, and judgment.

  • Ability to learn quickly and think critically to create innovative solutions for customer and employee needs.

  • Expert knowledge of Office 365 suite (Excel, Word, PowerPoint, Outlook)

  • Outstanding proactive customer service with strong problem-solving skills and the ability to anticipate customer needs by recognizing areas of opportunity and quickly provide solutions.

  • Complete PAAC Contract deliverables. (ie: Daily timecards; MNR reporting; Safety reporting, and training etc.)

  • Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job. Some travel may be required.

Education and Experience:

Bachelor’s degree and 12 years of experience or 15 years of experience in lieu of degree
