POSITION SUMMARY
The Academic Assistant II is critical in supporting technology integration into teaching and learning at Grinnell College. Working collaboratively within the academic assistant team and with staff across campus, this position provides a wide range of technical and administrative support. Key responsibilities include assisting with faculty recruitment and department guest support, scheduling rooms, processing course readings, maintaining and updating websites, and serving as a technical resource for software, hardware, and file storage solutions. The Academic Assistant II ensures the smooth operation of processes that contribute to the success of academic programs.
This position requires frequent interaction with internal and external contacts, often involving non-routine matters that demand a high degree of tact, diplomacy, and discretion.
This is a full-time role operating 12 months per year.
Responsibilities:
Schedule and manage Music Department events, including coordinating with Conference Operations, creating promotional materials, and submitting royalty rights to ASCAP and BMI .
Design and archive event posters and programs, collaborating with faculty to gather and finalize content and circulate a weekly newsletter during peak performance seasons.
Provide administrative and academic support to faculty, including processing course reserves, scheduling practice rooms, arranging department guest visits, and acting as a communication liaison.
Maintain and update web content to align with college standards and coordinate intranet site management with ITS and Communications staff.
Coordinate orientation, manage space usage, and liaise with adjunct instructors and students to oversee the Applied Music Associate ( AMA ) program.
Manage office operations, including supervising student assistants, serving as an information resource for visitors, and coordinating electronic building access and key distribution.
Support faculty recruitment and hiring by assisting search committees, managing the online application system, and coordinating all aspects of the interview process.
Minimum Qualifications
High School diploma or General Education Degree ( GED )
Three years or more of experience
Effective communicator across diverse constituencies using various modes of communication.
Strong customer service and teamwork skills.
Ability to independently manage workloads, prioritize tasks, and meet deadlines in a dynamic environment.
Commitment to Diversity, Equity, and Inclusion.
High accuracy, attention to detail, and minimal supervision required.
Skilled in composition, editing, and proofreading, emphasizing grammar and punctuation.
Preferred Qualifications
Bachelor’s Degree preferred.
Microsoft Office Specialist Certification in Word, Excel, Outlook, and PowerPoint preferred
