This position may be covered by a Voluntary Employee Beneficiary Association (VEBA) *JOB DUTIES: As a Business Analyst/Workforce Programs Support, you will: * Act as the TNT Team’s primary liaison with other Division staff regarding fixes, changes, and improvements to the Division’s CRM system and associated business workflows. * Coordinate with the Department’s IT staff to assemble QA, User Acceptance, and regression testing teams, making sure that appropriate stakeholders are included. * Working in coordination with IT staff, develop and implement an automated testing protocol utilizing SmartBear. * Improve and increase relationships with technical staff both within the Department and with State IT. * Assist the TNT Team’s Training Coordinator with training concepts and communications. * Work cooperatively with program subject matter experts and workforce providers to ensure correct and timely input into the Department’s case management system- EmployMT. * Work with IT staff to ensure that the case management system and integrated department data systems are supporting the Division’s business requirements. * In partnership with the Training Coordinator, coordinate with Job Service leadership, the Workforce Programs Team, Monitoring Team and Performance Manager to train and support WSD staff and contract providers appropriate and effective use of the Division’s case management system so that workforce programs data is accurately reported, and Division customers are effectively served. * Ensure daily production support tasks are monitored and issues addressed in a timely manner. * Assist TNT Supervisor identify bottlenecks in internal team processes/communications and helping to develop and implement solutions * Serve as primary contact for intermittent special projects involving State IT and WSD work units. * Perform additional duties as required. KNOWLEDGE, SKILLS AND ABILITES: If you are the right person for this opportunity, you will have the following knowledge, skills or abilities: Knowledge of (or ability to learn in a reasonable amount of time): * The Workforce Innovation Opportunity Act (WIOA) and workforce programs and services. * The workflows of CRM systems – preferable if you have practical knowledge of MWorks and EmployMT. * Workflow documentation and process mapping utilizing tools such as Visio. * QA and User Acceptance testing techniques including use of automated testing tools such as SmartBear and other test management tools. * Jira - Agile project management tool * ServiceNow or other cloud-based enterprise workflow automation platform. Ability to: * Demonstrate curiosity in exploring new approaches to your role, conducting research, and effectively sharing findings with the team. * Build and lead cross-functional teams to ensure all key stakeholders are involved when implementing changes to technical and business processes. * Adapt to shifting priorities and a fast-paced environment, reassessing tasks as new issues arise. * Research and implement innovative solutions to meet the technical and workflow needs of Division staff and leadership. * Collaborate with program managers to ensure that their policy guidance aligns with the technical needs and limitations of the case management system. * Partner with IT to prioritize and resolve system issues that hinder staff productivity or lead to inaccurate data reporting. * Excel in an evolving environment by making decisions, reprioritizing tasks, and driving progress amidst shifting expectations. MINIMUM QUALIFICATIONS Your preparation for this opportunity could include a combination of relevant experiences including: * A Bachelor’s degree, preferably in Business Analytics, Project Management, Information Technology, or a related field. * A minimum of 2 years’ experience in positions that demonstrate skill in the research, analysis and solution of complex programs, materials and problems. OR * Any combination of equivalent relevant experience and education to successfully perform the essential functions of the position will be considered. Preferred qualifications: * Experience with Workforce Development programs and services in Montana. * Knowledge of and experience with case management CRM and job board systems. * Experience writing user stories and test cases for system testing and implementation purposes. * Experience with ServiceNow, and Agile project management principles and tools, specifically Jira.
