RGP Senior Executive Assistant in Irvine, California

RGP is looking for a Senior Executive Assistant to support our CEO, CFO, and Board of Directors in a fast paced and dynamic firm. The ideal candidate for this position will have exemplary planning and time management skills and the ability to organize and manage multiple projects while keeping scheduled operations running smoothly and efficiently. Poise, articulate and professional communication skills are required.

  • Serves as a positive first point of contact when representing the RGP organization and the senior management team. Engage with the public, clients, consultants, employees, and investor community by projecting a professional image at all times.

  • Provide executive support, including meeting management, planning, and coordination of executive and Board of Director meetings, events, special engagements, investor conferences, and other projects that requires support.

  • Schedule and coordinate multiple meetings while managing and updating numerous calendars. Assess the priority of meeting requests and schedule accordingly, ensuring flexibility and maintaining strong communication both internally and externally.

  • Administrative support related to our Board of Directors as needed.

  • Coordinate and oversee all logistics for quarterly Board meetings, including arranging travel for the Board of Directors and Senior Management, securing hotel contracts and room blocks, selecting meeting venues, organizing dinners and special events, and managing on-site logistics throughout the meetings.

  • Support the preparation of materials for Board and Board committee meetings, to include: set agendas, consolidate meeting slides/documents, coordinate and post all materials to the Board Sharepoint Site, and follow through on all necessary action items.

  • Draft correspondence on behalf of the CEO and interface with business constituents globally.

  • Arrange extensive global travel and all accommodations including comprehensive and detailed itineraries.

  • Manage and process all expenses for the corporate American Express credit card.

  • Process reimbursement and expense reports for the CEO, CFO, and Board of Directors in accordance with established policy guidelines; track expenses and follow-up in a timely manner.

  • Provide a bridge for smooth communication; demonstrate leadership to maintain credibility, trust and support with senior leadership.

  • Work closely with the Legal team on processing legal documents for the CEO, CFO, and Board of Directors authorization and approval.

  • Participate in meetings, take notes and disseminate information to relevant stakeholders, including email updates. Responsible for drafting and editing correspondence.

  • Perform other duties as assigned and assist with special projects as needed.

  • Bachelor's from an accredited university and/or previous work experience.

  • 10+ years administrative experience supporting executive leadership.

  • Professionalism, discretion and sensitivity; demonstrated experience with handling confidential and non-routine information.

  • Demonstrated excellent verbal and written communications skills.

  • Previous experience maintaining executive’s phone, calendar, work and travel schedules using Microsoft Outlook.

  • Demonstrated experience handling multiple tasks concurrently and making quick decisions in a fast-paced environment.

  • Experience with Microsoft Office tools such as Word, Excel, Outlook and PowerPoint, as well as WorkDay, Adobe Acrobat and AdobeSign.

  • All Compensation is commensurate with employee qualifications, experience, and other factors, including geographic location, market, and operational factors.

  • Base Pay Range: $90,000 - $112,000

  • Other Compensation: Incentive Compensation
